Lycopodium is currently recruiting for an experienced Technical Clerk to join our team in Dar es Salaam, Tanzania.
Reporting to the Commercial Manager, you will provide a full scope of professional administrative services to key stakeholders throughout the business and working closely with our Project Services Group based Perth, Western Australia.
The tasks you'll perform
- Monitor and action incoming and outgoing communications on behalf of the business leaders as required.
- Formulate all the relevant briefing materials and have them readily available for key stakeholder meetings.
- Provide administration support to key stakeholders as required, including but not limited to, marketing, engineering, projects and business development.
- Compile and edit complex technical documents with focussing on formatting, presentation, accuracy, spelling and grammar accurately within time constraints.
- Develop, maintain and monitor reporting requirements to ensure deadlines are met at all times.
- Take initiative to resolve administrative issues on behalf of the business leadership team.
- Act as the key stakeholder to ensure the Lycopodium visual branding is used in an appropriate manner in all marketing documents and deliverables.
- Liaise regularly with Document Control in the procurement of document registration numbers using the appropriate forms.
- Register and file all documentation in accordance with the Company approved policies procedures to provide a diligent and professional service.
- Assist team members with everyday activities including but not limited to reception, catering facilities, office equipment and courier services.
- Liaise regularly with Global Mobility in travel / transportation services to ensure timely, cost-effective movement of Company and third-party personnel as required.
- Provide administrative support to Global Mobility.
- Proactively support other team members as required to ensure deliverables are met.
The expertise you'll bring
- Minimum 5 years in a similar role with relevant industry experience.
- Well-developed written and verbal communication skills.
- Demonstrate an ability to work autonomously and collaboratively with colleagues across all business units.
- Build and sustain positive relationships with all stakeholders, including clients, vendors and co-workers.
- Ability to work with people at all levels within an organisation and external providers.
- Excellent organisational skills with the ability to multitask and prioritise to a high standard of accuracy and professionalism.
- Proactively seek and accept guidance and feedback provided by subject matter experts.
- Driven and determined to achieve objectives through continued professional development.
- Personal qualities of integrity, credibility and commitment.
- Relevant technical aptitude, analytical and problem-solving skills.
- Advanced knowledge of Microsoft suite of products including, MSWord, Excel, PowerPoint, and Adobe Acrobat.
