Lycopodium is currently recruiting for a Senior Document Controller to join our growing team in Mississauga Ontario.
Reporting to the Engineering Manager- Americas, the Senior Document Controller will be responsible for managing various aspects of document control, including the receipt, storage, retrieval and circulation of documents, review coordination, external submission and distribution control.
The tasks you'll perform
- Implement the Documentation Management system, including setting-up and explaining rules and procedures to colleagues.
- Control the identification, registration, distribution and retention of client, design, and vendor documentation.
- Implement and maintain procedures, specifications required to ensure the efficient management of all documents throughout the Project lifecycle.
- Develop and contribute to the delivery of improvement initiatives, which support business priorities for continuous improvement.
- Perform constant analysis of produced documentation to check for compliance with Project standards regarding numbering, graphic charts, used symbols and all others aspect related to document quality.
- Validate and maintain necessary means and tools for the timely preparation of the hand-over of documentation as requested.
- Register and file all relevant project documentation in accordance with Company approved procedures.
- Proactively support other team members as required to ensure Project deliverables are met.
- Impose strict confidentiality in the performance of the documentation management during the tendering phase and as a general manner all along the course of the Project.
The expertise you'll bring
- Diploma or equivalent experience in Business or Administration is desired.
- A minimum of 3 continuous years’ experience in document control.
- Experience working in an EPCM environment.
- Well-developed written and verbal communication skills.
- Demonstrate an ability to work autonomously and collaboratively within the document control environment and with colleagues across all business units.
- Build and sustain positive relationships with all stakeholders, including clients, vendors and co-workers.
- Proactively seek and accept guidance and feedback provided by subject matter experts.
- Driven and determined to achieve objectives through continued professional development.
- Personal qualities of integrity, credibility and commitment.
- High attention to detail and solid knowledge of the requirements and processes of vendor data.
- Excellent organisational skills with the ability to multitask and prioritise to a high standard of accuracy and professionalism.
- Demonstrated knowledge in the use of an electronic document management system or database such as Sharepoint, ProjectWise, Aconex, etc.
- Strong working knowledge of Microsoft Office software and Adobe.
