Role Summary:
This part-time role provides administrative support to the SCADA Replacement Program and the Technology Information Services (TIS) Liquids Pipelines (LP) Business Engagement Team, consisting of over 100 staff and contractors. The position requires excellent communication skills to draft senior-level emails and a keen interest in technology with the ability to quickly learn new applications.
Key Responsibilities:
- Provide ongoing administrative support services to one Director, the SCADA Replacement Program, and the TIS LP Business Engagement Team.
- Draft and manage Director correspondence, including emails, at a senior level.
- Organize and maintain a complex email inbox on behalf of the Director, ensuring timely responses and follow-ups.
- Coordinate and arrange meetings, conferences, and functions, including communication with internal and external stakeholders.
- Assist with the preparation of presentations, reports, and other documents using Microsoft Office Suite (Word, Excel, PowerPoint).
- Manage calendar and schedule appointments to ensure maximum time efficiency.
- Arrange travel arrangements and process expense reporting.
- Maintain confidentiality and demonstrate discretion in handling sensitive information.
- Handle invoice coding and reconciliation for all operating expenditures.
- Manage time entry and maintenance of vacation schedules, and approve vendor timesheets.
- Act on behalf of the department in dispensing routine information, answering general inquiries, and obtaining data.
- Administer and update SharePoint as required, including access management requests, site creation and customization, content management classifications, and troubleshooting site issues.
- Provide general clerical support services including reports distribution, photocopying, document handling, meeting arrangements, facilities and equipment maintenance, mail delivery, supplies, and filing.
- Submit and track requests for the team via the MyService system to support activities such as onboarding & off-boarding, office moves, catering, special event organization, and similar tasks.
Qualifications:
- Relevant education and a minimum of 3 years’ experience in the administrative field, or an equivalent combination of education and experience.
- Proficient with the Microsoft Office Suite, SharePoint, Internet navigation, email, and general computer use.
- Strong interpersonal and communication skills.
- Above-average organization and planning skills.
- Ability to learn tasks quickly and become efficient in a short period of time.
- Self-starter, proactive, and self-motivated.
- Excellent time management skills and the ability to prioritize competing demands.
- Ability to perform work with constant interruptions.
