This opportunity

The role is responsible for providing effective support to the Planning and Delivery Manager. This is a varied role, with a strong administrative and coordination focus. Sitting within the People Experience (PE) Change & Planning team, you will work closely with our PE team stakeholders as well as senior leaders and a variety of internal stakeholders including the Spring Office (central planning office). This role is a 12 month Fixed Term Contract.

Responsibilities

  • PE function’s planning accountabilities as well as the Change team’s special projects.
  • Track and maintain all PE initiatives within the Spring planning tool (Wave). This will include following up with internal stakeholders to clarify or update data, generate reports for internal PE stakeholders and work closely with the Spring Office to clarify queries or resolve issues.
  • Attendance at, and follow up from, Spring forums as required.
  • Project lead on the development of the Single View of Change which will involve problem solving, creative thinking, significant internal business engagement, a high level of attention to detail and close management to maintain. Critical output will be the data capture, validation and most importantly storytelling for our senior leadership community.
  • Assist with the development of change program resources e.g. templates, communications, training program collateral, status documents, and reporting dashboards.
  • Assist with coordinating team meetings and governance forums including capturing and circulating meeting minutes and actions.
  • Project coordination support for special projects such as internal engagement sessions and training programs. This may include maintaining project plans, drafting stakeholder communications and presentations, managing event/session registrations and liaising with attendees, and management of governance forum artefacts such as status reports.
  • Support in preparing reporting deliverables for the change and planning team, which may involve the creation, management and distribution of key reports on a regular basis to relevant stakeholders, including senior leaders. This will involve working closely with the team’s Change Leads to collate the necessary data.
  • Develop and maintain the change team’s internal SharePoint sites, artefacts and collateral.
  • Embed operational procedures to create efficiency and consistency within change team (e.g.standardising and building templates and dashboards, building and maintaining a centralised planner board).

Knowledge and experience

  • A people first approach to work, with the ability to build effective relationships.
  • Demonstrated administrative, project coordination or operations experience.
  • Strong communication and interpersonal skills, both written and verbal.
  • Organised and precise, with strong attention to detail.
  • Proficient in Microsoft Suite. Knowledge of Power BI a plus.
  • Operationally focused and process driven, you can anticipate needs and ensure follow through.
  • A flexible, curious, and solution-oriented mindset.
  • Excellent communication skills and an independent thinker.
  • Excellent interpersonal skills with a commercial and pragmatic approach.
  • Ability to adapt to a fast paced and dynamic work environment.
