What’s the opportunity?
The Clinical Scheduling Lead will provide specialist expertise on rostering and forecasting for the service. They will collaborate with the Workforce Planning analyst and Real Time Analyst to effectively optimise the workforce to meet contractual performance targets.
About the role:
The Scheduler/Administrative role will focus on the management of scheduling coaching and supervision for 1800RESPECT first responders with Clinical Coaches and Supervisors. This role will also schedule ad hoc remedial training and mop up sessions that have been missed previously. Capability in VERINT to input rosters of the Clinical Teams and monitor accuracy for payroll purposes.
- Lead the scheduling of Clinical Coaching and Supervision and ensure accuracy and governance over rostering of Clinical Teams to mitigate payroll issues across Service.
- Maintain and optimise scheduled coaching and supervision conducted by Telstra Health Clinical Coaches with a rigor of occurring for all First Response Counsellors every 4 weeks.
- Generate and manage Clinical Team rosters in VERINT.
- Create and maintain coaching and supervision performance reports.
- Collaborate with payroll team to ensure roster data accuracy for Clinical Teams.
- Ongoing analysis of scheduled coaching and supervision and the confirmation of coaching and supervision having occurred for First Response Counsellors every 4 weeks.
- Analyse and report on coaching/supervision metrics, Clinical loaded hours and coaching/supervision execution in collaboration with Clinical Teams, CCM, Head of Operations and Workforce and Rostering.
- Identify and analyse anomalies and behaviours impacting service performance and First Responder Coaching and Supervision and Clinical Teams execution and provide strategies for development and improvement.
- Populate reports and presentations for stakeholders around fortnightly and EOM execution summary on 4 week Coaching and Supervision commitment and the Clinical Teams workload.
- Identification and management of any gaps around Clinical resource coverage and development of innovative approaches to overcome those gaps.
- Seek ways to enhance operational efficiencies through effective roster optimisation through the application of LEAN principals to operations.
- Provide reporting and analysis to inform decision making, as it relates to the execution of our commitment to Coaching and Supervision occurring every 4 weeks.
- Schedule and arrange for backfilling of Clinical coaching and Supervision where necessary.
- Create and nurture the daily cadence and oversee our commitment to the execution of all Coaching and Supervision for every First Responder Counsellor across the 1800RESPECT Service.
About you:
- Minimum 2 years experience in a Real time analyst role and scheduler role, with experience in health or social care advantageous.
- Proficient in Excel.
- Experience in Verint and Genesys Purecloud advantageous.
- Analytical reasoning with the lens of operational governance.
- Strong organisational and planning skills with a focus on attention to detail.
- Demonstrated ability of working with competing priorities, tasks and deadlines while under pressure.
- Effective communication both verbally and written for optimal interaction with staff members across all levels of the business.
- Ability to respond to change and adopt a flexible/innovative approach to problems and opportunities.
- Ability to work autonomously.
- Demonstrated experience working in a fast paced, dynamic Service Delivery environment.
