Lycopodium is currently recruiting for a Proposal Coordinator to join our growing New Business team in Perth.
Reporting to the General Manager- Studies the Proposal Coordinator will be responsible for facilitating proposal processes, coordinating inputs from internal stakeholders and external partners, and assisting with technical documentation, cost inputs, scheduling, and resource planning.
Acting as a key interface between proposal leadership and administrative support, the Proposal Coordinator ensures the timely delivery of compliant and professional submissions, while maintaining effective communication, document control, and workflow management in alignment with Lycopodium’s operating model.
The tasks you'll perform
- To support the successful delivery of high-quality, compliant proposal submissions by ensuring effective coordination, accurate information management, and structured processes, while enabling collaboration across stakeholders and aligning outcomes with client requirements and Lycopodium’s business objectives.
- Support the General Managers, Group Managers and subject matter experts in delivering high-quality proposals, ensuring deliverables align with the needs of each business opportunity, the Company’s objectives, and the Client’s requirements.
- Coordinate the end to end bid and tender submission process including providing proposal and estimate templates, formatting, document compilation, approvals and submission.
- Coordinate the preparation of client presentations, reports, and submission materials in line with company templates and branding standards.
- Coordinate weekly bid/no-bid meetings, including organisation, attendance, and preparation of accurate meeting minutes.
- Facilitate proposal kick-off activities and coordinate inputs throughout the submission lifecycle, liaising with internal stakeholders, subsidiaries, and external partners to ensure alignment, clear responsibilities, and timely delivery.
- Manage and maintain CRM platform (Salesforce), including tracking opportunities, bid registers, databases, and ensuring data accuracy, compliance, and timely reporting.
- Coordinate the preparation and issue of Job Opening Forms, including assigning and recording job numbers, managing review and approval processes, updating records, and tracking contract status to support the formal commencement of awarded work.
The expertise you'll bring
- Tertiary qualifications in Communications, Marketing, or a related discipline (desirable but not essential).
- Approximately five years’ experience in proposal coordination and tendering processes
- Proven ability to manage deadlines effectively in a fast-paced, deadline-driven environment
- Demonstrated strong organisational and time management skills, with the ability to prioritise and manage competing demands effectively.
- Well-developed written and verbal communication skills, with attention to detail and the ability to present information clearly and professionally.
- Proven ability to maintain confidentiality and handle sensitive information with discretion.
- Ability to work both independently and collaboratively, demonstrating initiative, accountability, and a proactive approach to tasks.
- Sound judgement, analytical thinking, and problem-solving capabilities.
