Lycopodium is currently recruiting for a proactive and passionate Business Services and Support Manager to join our Infrastructure team in Newcastle. This key role provides a strong opportunity to contribute to the success of the business whilst building upon your previous administrative experience. You’ll work in a collaborative, supportive, and fast-paced environment where your contribution will make a real impact. 

Reporting to the General Manager, the successful applicant will be responsible for overseeing and managing the administrative, operational, and financial aspects of the Business Services function, liaising closely with internal stakeholders across Lycopodium’s various business units. The role is well suited to a driven people person, who continuously strives towards producing quality deliverables whilst providing high-level support to the wider team.  

The tasks you'll perform

  • Oversee day to day operations of the Business Services department, ensuring services between internal functions are delivered efficiently and in line with the overall business objectives.  
  • Ongoing system administration for company finance and project management systems. 
  • Coordination of monthly financial & project reporting and forecasting to the Managing Director.  
  • Actively work with Project Managers and Group Managers to coordinate project reports and escalate any potential overruns. 
  • Administering company and client contracts, acting as the liaison between clients, sub-contractors and Lycopodium stakeholders, to review and create contract documents, negotiate terms and administer.  
  • Assist with the onboarding process of new staff members.  
  • Document control; including the development of company documents and templates. 
  • Ensure that internal stakeholders are provided the highest service level whilst making the most efficient use of resources.  

The expertise you'll bring

  • 5+ years experience in an administrative role, ideally within an engineering or project-based environment. 
  • Cert III in Office Administration or the equivalent desired, but not essential. 
  • Previous experience in / exposure to the procure to pay process would be advantageous. 
  • A minimum of intermediate skills in Outlook, Word, Powerpoint and Excel (basic formulas, pivot tables, V lookups, linking of tabs) and ability to quickly adapt to in-house software packages. 
  • A desire to upskill and meet the growing needs of the business. In turn, you will be provided with exceptional training and the support required to achieve your career goals. 
  • High attention to detail, the ability to work with minimal supervision and demonstrated experience in following issues through from identification to resolution. 
  • Well developed communication skills and ability to build effective relationships with numerous stakeholders across all business units. 
  • A self-starter who can readily adapt to shifting priorities in a fast-paced environment. 
  • Enthusiasm to go above and beyond, and a passion for providing high levels of service to facilitate exceptional experiences.
