Lycopodium Infrastructure is an Australian headquartered consultancy offering asset management, engineering, architectural and project delivery services to a wide range of private and public clients nationally and internationally. Our services are delivered across a number of industry sectors including government, transport, energy, utilities, property, buildings, resources infrastructure, defence and agriculture.

Lycopodium is currently recruiting for a proactive and passionate Administrator to join our growing Infrastructure team in Newcastle. A newly created position due to continuous organisational growth, this role presents a great opportunity to build on your previous administrative experience in a collaborative, supportive and fast-paced environment. 

Reporting to the Administration Manager the successful applicant will be responsible for providing general administrative services whilst continuously striving towards producing quality deliverables and providing high-level support to the wider team. The tasks you'll perform

  • Reception duties such as meeting and greeting of clients, visitors & staff, as well as managing phone activity.
  • Ensure that internal stakeholders are provided the highest service level whilst making the most efficient use of resources. 
  • Take charge of the office social club, including arrangement of functions, catering and management of club finances.
  • Work closely with our Global Mobility team to book and coordinate corporate travel.
  •  Process financial transactions and assist with reconciliation of accounts.
  • Adhoc administrative tasks & support to the team as required, which may include but is not limited to; document control, formatting, coordinating meetings & minute taking.

The expertise you'll bring

  • 2+ years experience in an Administrative role, ideally within an engineering or project based environment.
  • A desire to upskill and meet the growing needs of the business. In turn, you will be provided with exceptional training and the support required to achieve your career goals.
  • A minimum of intermediate skills in Word and Excel (basic formulas, pivot tables, V lookups, linking of tabs) and ability to quickly adapt to in-house software packages.
  • Hold a current drivers licence, have access to a vehicle, and willingness to drive around Newcastle for collections as required (Kilometres will be reimbursed).
  • Enthusiasm to go above and beyond, and a passion for providing high levels of service to facilitate exceptional experiences.
  • Proactive problem solver who can think laterally and find the answers if they're not already known.
  • Strong communication skills and ability to build effective relationships with numerous stakeholders across all business units.
  • Driven and determined to achieve objectives through continued professional development. 
  • A self-starter who can readily adapt to shifting priorities in a fast-paced environment.
