Who you are
We're looking for an experienced Resource Coordinator to join our Professional Services team, playing a key role in optimising workforce allocation, maintaining the integrity of resource data, and ensuring operational visibility through analytics, trend analysis, dashboards and reporting. The role partners closely with Portfolio Leads and the Head of Professional Services to ensure that resources are deployed effectively and aligned with both skill requirements and utilisation targets across the organisation. The Resource Coordinator acts as a central point for resource pipeline planning and contributes to delivering project success through proactive capacity management, performance reporting, and continuous improvement of resource processes.
What you will do
- Guide and assist Portfolio Leaders with understanding their resource allocation across multiple projects and teams, ensuring alignment with priorities, deadlines, and skill requirements.
- Develop clear and actionable insights, trend analysis, and forecasting capacity shortages.
- Develop and maintain resource forecasts to anticipate demand and proactively address constraints or gaps for long- and short-term planning.
- Work closely with our Enablement function to ensure cross-skilling gaps are addressed to meet the future project needs.
- Cross-functional collaboration across Sales and Services Sales on the forecasted pipeline to ensure effect resource allocation
- Conduct regular audits of project system data to ensure data accuracy, completeness, and consistency.
- Monitor and identify potential risks related to over / under utilisation or resource misalignment and escalate appropriately.
What you’ll need
- 3 - 5 years of experience working in resource coordination, workforce planning, or project operations.
- Experience in resource or project management tooling (Kantata preferable) but not wedded to one.
- Strong Excel skills, including pivot tables, formulas, and data analysis techniques.
- Strong analytical mindset with experience translating data into operational insights.
- Ability to identify patterns, predict risks, and solve resource-related challenges.
- Clear and concise communicator with the ability to influence senior stakeholders across the team.
- A self-starter and individual that takes ownership of resource coordination and continuously seeks improvements to ways of working.
- Highly detail-oriented and highly organised, with a commitment to accuracy and accountability.
Some ‘nice to haves’
- Experience working in a SaaS or software vendor in a professional services team is highly advantageous!
- An understanding of commercial billing models is also useful in this role.
