The Role

We are seeking a meticulous and organized Group Coordinator to join our team at El Questro for the season. The Group Coordinator will be responsible for ensuring the seamless coordination of group arrivals, departures, and activities, while providing excellent service to our guests. This role requires attention to detail, strong communication skills, and the ability to work efficiently in a fast-paced environment.

Duties

  • Starting your day around 10/11am to greet the groups guests upon their arrival.
  • This role is heavily centered around updating on site info with preorders and coordinating with Tour Leaders.
  • Working closely with Head Office to ensure any special requests and add ons are done correctly.
  • Open RMS and check group arrivals for each day, transferring information to the Group master info sheet.
  • Prepare and print information sheets detailing the length of stay, group details, tour leader information, and contact details.
  • Update the Group Master Info sheet with the number of guests staying each night, distinguishing between group numbers and FIT numbers.
  • Manage dietary requirements by updating the dietaries spreadsheet and communicating information to the kitchen.
  • Coordinate group check-outs and provide necessary paperwork to the Front Office Manager for invoicing.
  • Arrange room allocations, considering mobility issues and offering assistance as needed.
  • Update boards and maps with new guest lists and any special requirements.
  • Maintain accurate occupancy records on the Whiteboard.
  • Prepare arrival materials including rooming lists, info sheets, and maps for each group.
  • Coordinate dining times, ensuring smooth service and adherence to scheduling guidelines.
  • Confirm details with tour leaders and assist with booking dinner times and other arrangements.
  • Coordinate baggage handling and departure logistics for groups.

Skills & Experience

  • Previous experience in a similar role or Front Office Supervisor (preferred).
  • Strong organizational and multitasking skills.
  • Full/Unrestricted Drivers Licence (essential)
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite and RMS.
  • Ability to work effectively under pressure and adapt to changing priorities.
  • A commitment to providing exceptional customer service.
