The Department – Alfred Cancer, Integrative Oncology & Wellness Centre (outpatient service)
The Integrative Oncology and Wellness Centre at Alfred Cancer provides whole-person, supportive cancer care. Working alongside conventional cancer treatment, the service provides evidence-based supportive therapies, practical guidance, education and psychosocial support to help patients and their families live as well as possible throughout their cancer experience.
Our multidisciplinary approach brings together a range of health professionals to address the emotional, social, physical and practical needs of people affected by cancer, with a strong focus on health, wellbeing and quality of life.
The purpose-built Wellness Centre located in the Paula Fox Melanoma and Cancer Centre, provides a welcoming and safe environment for patients and their families to access our services and participate in a range of therapies and group programs. Our clinicians, administrative staff and volunteers work collaboratively to ensure programs are well coordinated, accessible and responsive to the supportive needs of all patients and carers accessing Alfred Cancer.
You will be joining a friendly, collaborative and supportive team committed to creating a positive experience for every patient and family who accesses the Centre.
The Role
We are looking for a warm, approachable and highly organised Wellness Centre Co-ordination and Administrative Officer to join our Integrative Oncology and Wellness Centre team in this 0.4 part-time position.
Often one of the first points of contact for our patients and families, you will play an important role in creating a welcoming, inclusive and supportive environment. You will work closely with clinicians, administrative colleagues, volunteers and other stakeholders to coordinate the day-to-day activities of the Wellness Centre and help patients access the programs and services available to them.
Your responsibilities will include coordinating patient appointments and program registrations, responding to phone and email enquiries, supporting group programs, coordinating volunteers, maintaining program information and resources, assisting with newsletters and promotional materials, and supporting data collection and reporting.
You will also work closely with the Operations Manager and broader team to promote the Centre's programs and ensure they remain visible, accessible and responsive to the needs of patients and carers.
We are looking for someone who genuinely enjoys helping people. You will be friendly, calm and confident in your communication, enjoy being part of a multidisciplinary team and have the organisational skills to keep multiple activities moving. You will be comfortable working autonomously when required while also being someone who naturally collaborates, communicates and contributes to a positive team culture.
Experience and Qualifications Required
To be successful in this role, you will have the following skills/competencies:
- At least three years' experience working within a healthcare setting, together with a vocational or tertiary qualification in administration or another qualification relevant to the role.
- Excellent interpersonal, written and verbal communication skills, with a warm, patient-centred approach and the ability to communicate sensitively and professionally with patients, families, clinicians, volunteers and stakeholders from diverse backgrounds.
- Strong administration, reception and organisational skills, including experience managing appointments, enquiries, program bookings and competing priorities with a high level of accuracy and attention to detail.
- Demonstrated initiative and ability to work both independently and collaboratively, with strong problem-solving skills and a genuine commitment to teamwork and providing an excellent patient experience.
- High-level IT capability, including Microsoft Office 365 and experience with health information and communication systems, together with an understanding of medical terminology, confidentiality and privacy requirements within healthcare.
- Experience coordinating or supervising volunteers, supporting a health clinic or reception area, developing promotional materials, or maintaining website content would be highly regarded.
