Alfred Health is a leader in health care delivery, improvement, research and education. We are the main provider of health services to people living in the inner southeast suburbs of Melbourne, from ambulatory to inpatient and home and community-based services. On 1 January 2026, Alfred Health will come together with Kooweerup Regional Health Service, Peninsula Health, Bass Coast Health and Gippsland Southern Health Service to create Bayside Health, a newly merged health service with more than 22,000 employees caring for a community of over 1.2 million Victorians. The new health service will provide people with the best possible care with services that support them throughout their lives. The merger will also strengthen our workforce, providing new training, education and career opportunities. Subject to final approval on 1 January 2026, all employees from the five health services will transfer to Bayside Health.

About the Team
Pharmacy activities extend to the Outpatient Clinics, where pharmacists conduct clinical reviews for patients receiving complex and changing medication regimens. This established service is supported by dedicated Administrative Office positions, which assists with managing the administrative tasks associated with outpatient pharmacy operations. You will work as part of a team to coordinate and manage the outpatient booking process for Pharmacy.
About the Role
As an Administration Officer, you will work closely with pharmacists in Outpatient clinics by providing administrative support for clinic referral, scheduling, patient communication, reporting and other associated documentation. All appointments will be booked and managed via the Cerner Scheduling Appointments Book.
Duties:
- Assist Pharmacists working in the outpatient clinics with managing the patient referral process and patient bookings
- Manage bookings via Cerner software, including initial referral, confirmation, failure to attend and rebooking
- Follow policies and procedures when processing referrals and in making all clinic appointments or managing appointment queue
- Communicate respectfully with patients and patient carers
- Collect and enter accurate data as required under Alfred Health and government guidelines in a timely manner
Key Skills
Essential
- Demonstrated computer proficiency including MS Word, MS Outlook, MS Excel (foundational)
Desirable
- Previous administration experience in a health care setting
- Knowledge of Cerner Programs or similar public health Electronic Medical Record (EMR) system
- Understanding and experience in supporting outpatient clinics
- Understanding of basic medical terminology
- Understanding of confidentiality and privacy legislation
