The Department
Alfred Health’s Dietetics and Nutrition Department provides an integrated service at The Alfred, Sandringham and Caulfield Hospitals. This position is based at The Alfred Hospital. The joint Dietetics and Nutrition Department is comprised of 48 EFT and 70 people. It is organised into eight clinical streams and provides a 7-day service. Using evidence-based, patient-centred care, it provides clinical expertise to Alfred Health’s patients during their healthcare journey, including the prevention and treatment of malnutrition and the optimisation of nutritional wellbeing and recovery through tailored specialised nutrition therapy.
The Role
An exciting opportunity has become available in Alfred Health’s Dietetics and Nutrition Department for an enthusiastic and experienced Administration Lead to join their busy and dynamic team. This role is essential to the operations and productivity of the department and EA is responsible for co-ordinating a range of administrative functions in an appropriate, timely and efficient manner to support the Dietetics and Nutrition Manager and the smooth operations of the Dietetics and Nutrition Department.
Key tasks and responsibilities include:
- Administrative support to the Dietetics and Nutrition Department Manager, Deputy Manager and team of Dietitians and Nutrition Assistants across 3 sites
- Managing the main reception area and being the first point of contact for patients and/or other visitors, including answering incoming phone calls
- Using a range of software packages and fulling administrative procedures to support efficient work processes
- Liaison with key stakeholders including our patients, other departments within Alfred Health and external agencies
Skills
- Tertiary qualification.
- Excellent organisation skills, including the ability to multi-task, prioritise and work to deadlines
- Excellent communication (verbal and written) and interpersonal skills; able to work collaboratively and apply problem-solving skills in a complex environment
- Ability to use initiative and anticipate needs
- Curiosity and problem solving skills
- Customer focussed and able to deal with enquiries from staff and patients in a professional manner
- Strong computer literacy skills, including proven experience in Microsoft Office applications
- Experience working in a healthcare setting or using an electronic medical record (EMR) is desirable
