Heart Centre (Cardiology & Cardio-thoracic Surgery Specialist Clinics) Administration Supervisor

About the team

Alfred Heart Centre (Cardiology Specialist Clinics)

We assess and treat adult patients with cardiovascular diseases, including the most advanced forms of coronary, valvular, heart muscle and heart rhythm disorders. Through a wide range of outpatient clinics, investigation suites and a large inpatient service, we care for patients from our local community and across Australia. We have an extensive research and education program, for which we are known internationally.

Specialist Clinics are responsible for the delivery of a number of non-admitted or ambulatory services across the organisation. These services include pre and post-hospital admission and management of medical conditions, including chronic disease and complex health problems. These services are provided in-conjunction with diagnostic services such as pathology and imaging. Patients are referred to Specialist Clinics from a range of providers, including General Practitioners (GPs), Specialists and Clinicians in Emergency Departments, inpatient units and other areas of Alfred Health.

About the role

An exciting opportunity for an Administration Supervisor to support the daily operation of the Cardiology and Cardiothoracic Specialist Clinics located within the Heart Centre.

Reporting to the Administration Manager, Specialist Clinics - Heart & Lung Program, this role provides day-to-day supervision of a team of approximately 11 FTE administation officers. Responsibilities include task allocation, rostering, leave cover, onboarding, payroll managment, and hands-on clerical support as required.

The role plays a key part in ensuring clinic efficiency, policy compliance, high-quality patient service, and a psychologically safe workplace in a busy, high volume clinical environemtne. This is an ideal opportunity for an experienced administrator ready to step into a formal supervisory role.

Key Responsibilities

  • Provide leadership, direction and support to Heart Centre administration staff
  • Coordinate rostering, leave management, onboarding, training, performance improvement and maintenance and payroll
  • Support efficient clinic operations, patient flow and acheivement of access KPIs
  • Ensure compliance with Bayside Health policies, procedures, privacy legislation and governance requirements
  • Liaise effectively with medical, nursing, allied health and management teams to support service delivery
  • Maintain clinic supplies
  • Contribute to QI initiatives and ongoing review of administrative workflows
  • Support a respectful, inclusive, and psychologically safe team culture

About You

You are an organised an approachable leader who thrives in a fast-paced environemtn. You bring strong communication skills, excellent critical thinking skills and the ability to balance competing priorities.

You are comfortable supporting staff with varying levels of experience, and are committed to continuous improvement, quality and safety.

Skills & Experience

  Essential

  • Minimum 1 year experience in a healthcare administrative role within a high-volume, fast-paced environment (e.g. outpatient clinics, GP clinics or busy wards)
  • Experience coordinating or leading the work of others (e.g. acting team leader, senior administrator) including task allocation and problem solving
  • Demonstrated ability to manage competing priorities and time-critical tasks with frequent interruptions

  Desirable

  • Experience communicating with a range of stakeholders, including clinical staff, patients/ customers and managers
  • Exposure to performance maintenance or improvement processes
  • Experience using health information systems such as iPM and Cerner.
