Our client, a Canadian multinational energy transportation company with a focus on the transportation, distribution, and generation of energy, has an immediate need for a SharePoint Administration / Document Integration. This is a contract position for one (1) year located in Edmonton, Alberta.

Description

The Project Information and Data Management Specialist provides vital technical support to the project group by maintaining, enhancing, and rolling-out fit-for-purpose software tools and web applications. The position interfaces with both Major and Core Project Teams to provide leadership and support on project execution, project turnover and alignment to project requirements.

Accountabilities

  • Acting as the senior technical resource for the Major Projects Information Management team. Making recommendations, developing and implementing technical solutions.
  • Provides direction in the gathering and analysis of business requirements and process mapping to streamline and find efficiencies to optimize process effectiveness and create knowledge from existing information.
  • Make recommendations, develop and implement technical solutions to optimize process effectiveness and create knowledge from existing information.
  • Support Document Management and Records Management teams in the management and turnover of records, data, drawings and design documentation.
  • Utilize reporting methods to effectively communicate the progress of record verification, turnover, and project closure to key stakeholders.
  • Research and investigate best practices in technology, processes, change management, etc, while looking for opportunities to streamline processes across the project’s organization.  
  • Provides first level specialized and technical project support and leadership to a project management team by: 
  • Participating in the interpretation of project-specific business requirements, ensuring alignment with project lifecycle gating methodologies and compliance standards for records turnover to the proper Business Authorities.
  • Recommend improved processes for project Data Management teams when reviewing their Document Management Plan and processes to ensure continual improvement.
  • Acting as the liaison with the IT department on behalf of the MP Document Control team for larger-scale IT projects
  • Providing expertise in integrating existing information management tools with other applications (SharePoint Excel, Word PowerBI Bluebeam, etc.)

  • Working Relationships
  • Manages effective process communication with internal team members to provide overview of document control procedures.
  • Interfaces with other internal project document control personnel to ensure consistency in approach with document control procedures and to leverage off existing practices.
  • Interfaces externally with engineering consultants’ document control personnel to ensure document control procedures are implemented and being followed.

Required

  • Information/Business Analysis/Records Management Diploma or comparable post-secondary education and related experience.
  • Minimum of five years of working in a project environment or related equivalent experience.
  • Ability to work independently and with minimal supervision.
  • Strong computer skills are required with proven proficiency in Microsoft Office Suite, OneDrive, Teams, PowerBI, SharePoint, Knowledge of Nintex Forms and Workflows.
  • Experience and/or developer knowledge of SharePoint and/or other document control systems.
  • Strong data analysis, with experience in visual design and development utilizing Microsoft Power BI.
  • Experience working in engineering and/or pipeline related industry.
  • Motivated team player, able to work with team members to meet deliverables.
  • Excellent analytical, interpretive, organizational and problem solving skills.
  • Ability to handle a high workload, short timelines and high impact activities.
  • Ability to prioritize and manage multiple assignments and meet established deadlines while managing project’s requirements.
  • Exceptional communication skills (both written and oral).
  • Excellent people skills with an ability to share experience and knowledge with others is required.
  • Possesses keen attention for details.
