Our Client, one of North America's leading energy infrastructure companies with operations in natural gas, oil and power industries throughout Canada, the United States, and Mexico has an immediate need for an Intermediate Document Control Analyst. This is a contract position for one (1) year located in Calgary, Alberta

 Description

Full responsibility for representing and acting on behalf of the user group as it relates to the maintenance and management of records/documents. Utilizes standard software to perform maintenance of files, archiving etc.

Accountabilities

  • Develop, maintain and support the project’s overall Information Management Plan, processes and procedures as they align to the Capital Project Management System.
  • Plan includes a document strategy for our Internal, External and Vault SharePoint sites, EDMS, and paper copy documents; assess, understand, consult and make decisions with respect to the project’s requirements for information management
  • Develop Document Control practices and procedures for the field office, work with field staff to implement; conduct business analysis of information flows and determine the appropriate document control processes to support the business process
  • Assist team members to meet project/initiative, schedule and quality on all requirements pertaining to information management best practices; collaborate with team members and other stakeholders to manage and protect their information
  • Utilize project management skills to manage multiple initiatives and provide progress reporting and status updates; Conduct self-audits to assess gaps, and determine and implement corrective action; lead and practice an environment of continuous improvement to ensure optimization of the processes and system
  • Collaborate and coordinate the publication of training materials, FAQ's cheat sheets etc.
  • Plan and coordinate training sessions as required (in person, or via Microsoft Teams.

Required

  • 3 years experience in document control
  • Post Secondary Education records management, library technician
  • Experience with Internal, External and Vault SharePoint sites, EDMS
  • Advanced computer skills, including experience with, Excel, MS Office
  • Experience with Open text ( nice to have)
  • Experience with Hard copy 
  • Experience with Document Control and Vendor Document Control
  • Experience with client side of document control (owner side )
  • AP experience (nice to have) 
  • Good communication skills between – internal and external parties -- able to talk on phone 
  • Organized – manage priorities
  • Familiarity with Bluebeam would be an asset
  • Knowledge on how to manipulate ADOBE acrobat
