About the role: 

We’re seeking a new Management Support Officer who will provide high‑quality operational and administrative support to the General Manager of Zinfra Projects & Infrastructure (ZPI) and the Zinfra Projects Leadership Team, enabling effective governance, communication, and day‑to‑day operations. The role coordinates depot management activities, supports multiple committees, and manages diaries, onboarding, travel, catering, and site logistics. It owns ZPI internal communications channels, including newsletters and recognition programs, ensuring consistent, timely, and engaging messaging. Operating in a fast‑paced, operational environment, the position requires sound judgement, discretion, and the ability to manage competing priorities independently while supporting safe, efficient, and well‑governed business outcomes.

We support flexible ways of working. This role may be undertaken full‑time, on a compressed week, or through compressed hours aligned with school hours, subject to operational requirements. 

Your responsibilities will include: 

  • Providing high‑quality operational and administrative support to the General Manager ZPI and the ZPI Leadership Team, enabling effective prioritisation, communication, and decision‑making.
  • Managing diaries, deadlines, correspondence, and follow‑ups independently, anticipating leadership needs and maintaining efficient executive workflows.
  • Handling sensitive and confidential information with discretion, professionalism, and sound judgement across executive, HR, and recognition‑related matters.
  • Coordinating end‑to‑end governance and meeting processes, including scheduling, agenda preparation, meeting materials, accurate minute‑taking, and action tracking.
  • Maintaining governance registers and driving action follow‑up, ensuring decisions and obligations are progressed in line with compliance expectations.
  • Supporting depot and operational environments by coordinating facilities, access, visitors, contractors, PPE requirements, and basic site administration.
  • Coordinating onboarding, travel, events, and logistics, including system access, inductions, corporate travel bookings, catering, and leadership forums.
  • Managing internal communications and engagement activities, including newsletters, stakeholder content coordination, and internal recognition and award programs.
  • Administering systems, financial processes, and continuous improvement activities, including Microsoft 365 collaboration, SAP transactions, credit card reconciliation, document control, and process optimisation initiatives.

About you:

Proven experience providing high‑quality administrative and operational support within a fast‑paced, operationally focused environment, combined with strong judgement, discretion, and the ability to manage competing priorities independently while supporting senior leaders and effective governance outcomes.

Your resume should clearly demonstrate:

  • Experience supporting senior leaders or leadership teams, including independent diary management, correspondence handling, and proactive follow‑up in high‑pressure environments
  • End‑to‑end coordination of meetings and committees, including agenda preparation, logistics, accurate minute‑taking, and action tracking
  • Experience supporting operational, depot, or field‑based environments, including facilities coordination, visitor access, contractor engagement, and PPE or site requirements
  • Demonstrated capability in coordinating onboarding, corporate travel, events, and logistics in line with organisational policies and approval processes
  • Strong working knowledge of Microsoft 365 tools (Outlook, Teams, SharePoint, Canva, Sway), with exposure to SAP financial processes considered beneficial
