About the role:
We’re hiring a newly created Operational Support Officer (OSO) to provide vital administrative and operational support across the One Distribution business units.
Reporting to the Management Support Officer (MSO), this role supports streamlined, best‑practice ways of working. You’ll work side by side with Business Support Officers (BSOs) and MSOs, and closely with operational managers to ensure effective coordination and consistent support across the function.
The OSO plays an important role in driving continuous improvement, maintaining efficient and aligned ways of working, and supporting shared priorities. This position also serves as a reliable point of support for BSOs and the broader One Distribution team.
The role includes some travel to depots across Victoria, including Bairnsdale, Beaconsfield, Leongatha, Lilydale, Sale, Seymour, Thomastown, Traralgon, Warragul, and Wodonga.
Your responsibilities will include:
- Providing day‑to‑day operational and administrative support to ensure smooth business unit operations.
- Coordinating workflow and task allocation across the BSO team to maintain efficient service delivery.
- Supporting managers and teams by preparing documents, managing data, and maintaining internal systems and records.
- Responding to emerging business needs by reallocating resources to maintain operational continuity.
- Coordinating engagement and communication activities, managing timelines, and liaising with stakeholders for content and approvals.
- Assisting with wellbeing initiatives, organising events, and arranging recognition‑related activities.
- Managing compliance tasks by processing SAP activities, monitoring invoices, and maintaining registers and documentation.
- Building and maintaining strong relationships across operational teams and internal stakeholders to support collaboration.
- Supporting a safe working environment by complying with HSE requirements and participating in safety initiatives.

You will bring advanced digital capability, excellent organisation, strong communication skills, and proven experience coordinating workflows, documentation, and business support activities in a dynamic operational environment.
