Stores Coordinator - Traineeship

Full time position available - 40 hours per week (1.0EFT)

Join our healthcare team at Yarrawonga Health as a Stores Coordinator Trainee where you'll play a crucial role in supporting the Stores team in supply procurement, stock management and service delivery within the Hospital and Aged Care facilities. This entry level position is ideal for an organised and detail-oriented professional is wanting to building their career within Procurement and the Health Industry.

To apply you must be willing to commit to a 12 or 24-month traineeship. The position is most suited to school leavers who would like to continue with study and be paid to learn whilst working in a fulltime role. The position will provide paid training and on-site experience to achieve a nationally recognised Certificate III in Supply Chain Operations (TLI30321).

Key Responsibilities:

Undertake a Certificate III in Certificate III in Supply Chain Operations (TLI30321).

You will be required to attend fully paid mandatory off-site training under the traineeship model and timetable set out by the Registered Training Organisation.

Administration Duties:

  • Assist with general administrative tasks, including data entry, paper and electronic filing, and document management.
  • Provide assistance in maintaining accurate and up to date computerised inventory system;
  • Complete end of month processing and accounting procedures on time and in an accurate manner with assistance from Administration Team Leader;
  • Provide regular and ad-hoc reporting to Departments on stock usage;
  • Assist in undertaking monthly Departmental, annual Stores and other ad-hoc stock takes as directed, and report on discrepancies;

Stock Control:

  • Check and maintain stock levels in designated Departments on a weekly basis and as required;
  • Ensure stock levels and ordering processes maximise value to the Health Service and the minimise the risk for loss, damage or fraud with assistance from Administration Team Leader;
  • Raise Purchase Orders for all authorised requests for goods and equipment in a timely manner;
  • Process uniform orders, maintaining database of eligibility in line with Yarrawonga Health Uniform Policy and Procedures;
  • Periodically review stock usage and make recommendations for the culling of obsolete and out of date stock;
  • Receipt all incoming goods and equipment and processing to store with subsequent dispatch to departments is accurate and in a timely manner with assistance from Administration Team Leader;

Communication:

  • Promptly notify the Administration Team Leader and Director of Corporate Services of any anomalies in the levels of stocks, the ordering of goods, or the supply of goods within the Health Service;
  • Assist Department Heads with enquiries as to the availability of products, both in Stock and Non-Stock items, including researching and identifying appropriate products;
  • Answer phones, respond to emails, and relay messages in a professional and timely manner.

Record Keeping:

  • Match invoices to Purchase Orders and provide to Finance in a timely manner to ensure that supplier payment terms are met;

Collaboration:

  • Work closely with other administrative staff, healthcare professionals, and department heads to ensure seamless operations.
  • Participate in training programs and stay informed about hospital policies and procedures.

Key Selection Criteria:

  • Willing to complete your Certificate III in Supply Chain Operations (TLI30321) and participate in a 12-month Development Plan under the supervision of the Administration Team Leader;
  • Willing to learn the process of stock management and procurement;
  • Willing to learn the principles of Probity in procurement processes;
  • High levels of accuracy and attention to detail are required;
  • Demonstrated or emerging computer skills including working knowledge of Microsoft Office applications;
  • Demonstrated or emerging ability to work to tight timelines and prioritise competing work demands;
  • Well-developed written skills;
  • Show evidence of the ability to effectively communicate with all levels of staff and external contacts;
  • Ongoing learning of organisation wide accreditation processes.
