Permanent Part-Time Ongoing Position | 16 hours per fortnight

🏡 About the Role

As the Ward Clerk, you will be the welcoming face and the organisational heartbeat of the ward. You’ll support residents, families, visitors, and clinical staff with efficient, compassionate, and proactive administrative service.

Ongoing hours:

  • Weekends and Public Holidays
  • 8 hour shifts

🌼 Key Responsibilities

Front Desk & Visitor Management

  • Greet and screen visitors using the LoopLearn kiosk
  • Manage all incoming calls and walk-in enquiries professionally and promptly
  • Direct residents, visitors, and families to the appropriate staff member

General Administration

  • Process and distribute incoming mail, emails, and faxes
  • Enter compliments and complaints into the Incident Management System
  • Assist the Nurse in Charge with replacement roster phone calls
  • Maintain office equipment and arrange servicing as required
  • Monitor and order stationery and essential supplies

Meeting Support & Correspondence

  • Prepare and circulate minutes for Resident & Relative Meetings, Staff Meetings, and Food & Dining Experience Meetings
  • Distribute lifestyle activity calendars, newsletters, special event invitations, and other resident communications

Medical Records Management

  • Create and maintain electronic and paper medical records
  • Complete administrative tasks for new resident admissions
  • Scan and file clinical and non-clinical documents
  • Maintain ID label supplies
  • Ensure medical records are organised, tracked, and forwarded appropriately, including post-discharge timelines

Additional Tasks

  • Maintain up-to-date next-of-kin lists, emergency folders, and emergency contact lists
  • Ensure adequate clothing labels for residents
  • Maintain work instructions (with approval)
  • Prepare contract folders
  • Provide general administrative support to the Karana leadership team

About You

We are looking for someone who is:

  • Comfortable working in a busy clinical environment
  • Tech-savvy with strong communication skills
  • Experienced in healthcare administration (desirable, not essential)
