Administration Assistant - Inclusive Employment Australia

Location – Cairns & Innisfail, QLD

Contract Type: Full Time Permanent

About the opportunity:

As an Administration Assistant in Inclusive Employment Australia (IEA), you will provide essential administrative and participant support to ensure the smooth delivery of employment services for people with disabilities. You will be the first point of contact for participants, employers, and stakeholders, assisting with inquiries, scheduling appointments, and maintaining accurate records. Your role will also involve data entry, compliance support, and document management, ensuring all program requirements are met. By coordinating communication and supporting frontline staff, you will help create a positive and efficient service experience for participants as they work towards meaningful employment.

What being a Administration Assistant involves:

  • Be the first point of contact for participants and employers, offering helpful and inclusive support.
  • Coordinate appointments, manage calendars, and support communication across the team.
  • Accurately maintain participant records, case notes, and program documentation in line with NSDEP guidelines.
  • Assist with compliance by gathering documentation, tracking progress, and preparing reports.
  • Maintain organised, confidential files to support audits and reporting.
  • Provide administrative support including handling calls, processing forms, and managing program materials.
  • Help prepare communication materials like newsletters and participant updates.
  • Respond to inquiries and escalate complex issues to the appropriate team members.
  • Support participant appointments, Ways2 activities, and job search sessions.
  • Assist with participant re-engagement and post-placement support follow-ups.
  • Deliver exceptional customer service with empathy, cultural sensitivity, and inclusivity.
  • Collect and respond to feedback to improve service delivery and ensure diverse voices are heard.
  • Work collaboratively with the NSDEP team to tailor services to participant needs.

About you:

  • You are experienced in delivering empathetic, inclusive customer service in busy or community-focused settings.
  • You are a clear communicator who listens actively and responds professionally.
  • You are solutions-focused and resolve issues to ensure positive outcomes.
  • You are able to juggle tasks, prioritise well, and meet deadlines.
  • You are detail-oriented and ensure accurate, compliant record-keeping.
  • You are confident using Microsoft Office programs.
