Specialist - Fleet & Assets

The opportunity

Kinetic is looking for a detail‑driven, proactive Specialist - Fleet & Assets to support our busy workshop operations on a part time basis. In this role, you’ll be the go‑to person for fleet administration, insurance coordination, data accuracy, and keeping our operational records running smoothly. If you enjoy variety, take pride in being organised, and thrive in a fast‑paced environment, this role is for you. 

You will work 1 week on, 1 week off. Ideally available full time for 1st month for training.

What you'll be doing

• Providing day‑to‑day administrative support to Workshop Manager and workshop team
• Managing insurance claims, liaising with third parties, and tracking repairs
• Maintaining fuel and registration records, renewals, and associated documentation
• Completing data entry and producing operational reports using our software systems
• Inputting incident reports and ensuring accurate and timely system updates
• Coordinating bus permits with the National Vehicle Regulator for new routes
• Compiling kilometre reports and completing daily fuel entries
• Managing work orders, inventory, and purchase orders
• Processing workshop‑related invoices and tracking approvals

What you'll bring

• Experience in a similar administrative or fleet support role
• Excellent planning, organisation, and time management skills
• Strong interpersonal and communication skills, with the ability to work across multiple stakeholder groups
• Proficiency with the Microsoft Suite and confidence learning in‑house systems
• A strong customer service mindset - both in person and over the phone
• A proactive attitude and willingness to support a busy operational team
