About the Role
We have started a multi-year and discipline program of work to uplift our existing core systems across Australia and New Zealand over the next few years (the ‘Our Tools’ program).
Our Tools will impact the whole business in some way from executive leaders through to our drivers and frontline teams. The program will improve how Kinetic manage finance, procurement, people info, payroll, legal, the maintenance of our buses, service delivery and safety.
The Project Coordinator is responsible for coordinating, scheduling and maintaining oversight of training and workshop activities that support the delivery of change initiatives across the business.
The Project Coordinator works closely with business leads, project managers and system integration partners to provide clear visibility of the full training schedule, proactively manage conflicts, and minimise disruption to operations and project timelines.
In addition, the Project Coordinator will support Our Tools project managers by coordinating day‑to‑day activities, maintaining project documentation, and ensuring effective communication and follow‑up. The role helps keep projects organised, on track, and aligned with agreed schedules, governance, and reporting requirements.
What You Will Do
- Coordinate and maintain detailed training and workshop schedules across multiple locations, audiences and project milestones
- Manage participant nominations and attendance across multiple sessions/streams, ensuring the right people are scheduled into the most appropriate sessions
- Work closely with business leads, project managers and system integration partners to maintain clear, up-to-date visibility of schedules, changes and expectations
- Identify and resolve scheduling conflicts early (including operational constraints and competing priorities) through negotiation and replanning to minimise impacts to individuals, sessions and project timelines
- Maintain accurate training, attendance and project records (schedules, registers, trackers and documentation) to support reporting, governance and decision-making
- Provide day‑to‑day coordination and administrative support to Project Managers across assigned projects, including meeting coordination (agendas, minutes and action tracking) and stakeholder communications/logistics
- Support project reporting and administration, including status updates (progress, risks, issues and dependencies) and financial/resource tracking (timesheets and invoicing), in line with agreed frameworks, standards and processes
What You Will Need
- Proven experience in project coordination, training coordination, scheduling, workforce coordination or similar roles – ideally within a system implementation environment
- Demonstrated ability to manage complex schedules involving large numbers of people
- Strong organisational skills with high attention to detail
- Experience working with multiple stakeholders across a large, operationally focused organisation
- Confidence identifying issues, managing dependencies and negotiating practical solutions
- Comfortable working in a fast-moving environment where plans may change
- Previous Learning Management Solutions (LMS) administration would be viewed favourably
- Demonstrated experience with eLearning or eContent development would be advantageous.
