About the Role

We are well underway with a multi-year and discipline program of work to uplift our existing core systems across Australia and New Zealand over the next few years (the ‘Our Tools’ program). 

Our Tools will impact the whole business in some way from executive leaders through to our drivers and frontline teams. The program will improve how Kinetic manage finance, procurement, people info, payroll, legal, the maintenance of our buses, service delivery and safety.  

The PMO Coordinator provides operational and administrative support to the PMO function, ensuring project governance processes, reporting, documentation, and project delivery activities are coordinated effectively. The role works closely with Project Managers, business stakeholders and vendors to maintain project information, support reporting and governance activities, coordinate PMO training and capability initiatives, and promote consistent project management practices across the organisation.

What You Will Do

PMO Coordination & Governance

  • Coordinate PMO processes, templates, standards and governance activities.
  • Support project managers with the administration of project documentation, schedules and reporting.
  • Maintain PMO tools, registers, project plans, RAID logs and project documentation repositories.
  • Assist in preparing project status reports, dashboards and portfolio updates.
  • Coordinate governance forums, steering committee meetings and project reviews, including agendas, minutes and action tracking.
  • Monitor project compliance with established PMO standards and processes.

Portfolio & Project Support

  • Assist with portfolio reporting and project performance tracking.
  • Support resource planning, project intake and demand management activities.
  • Track project milestones, dependencies, risks and issues, escalating concerns where appropriate.
  • Provide coordination support across multiple projects and workstreams.
  • Support the collection and analysis of project delivery metrics.

Training & Capability Development

  • Coordinate PMO and project management training programs and workshops.
  • Maintain training records, learning materials and capability development resources.
  • Support onboarding of new project team members to PMO methodologies and tools.
  • Promote the adoption of project management best practices across project teams.

Continuous Improvement

  • Identify opportunities to improve PMO processes, reporting and governance practices.
  • Support the implementation of process enhancements and lessons learned activities.
  • Assist in maintaining documentation, templates and knowledge repositories.

What You Will Need

  • Demonstrated experience in a PMO Coordinator, Project Coordinator, Project Administrator or similar role.
  • Strong understanding of and hands on experience working with JIRA and Confluence 
  • Understanding of project management methodologies and governance frameworks.
  • Strong organisational, planning and administration skills.
  • Experience preparing reports, dashboards and project documentation.
  • Ability to manage multiple priorities and deadlines.
  • Advanced Microsoft Office skills, particularly Excel, PowerPoint and Teams.
  • Experience coordinating training, workshops or stakeholder engagement activities is highly regarded.
  • Strong communication and stakeholder management skills.
