About the role:

We are seeking a proactive and experienced Business Unit Coordinator to provide high-level administrative and operational support to the Heads Of Business Units and the broader Strategy & Transformation team. This role is pivotal in ensuring the smooth functioning of the Group and Business Units by coordinating administrative processes and acting as a key liaison across internal and external stakeholders.

What the role will involve:

  • Provide executive-level administrative support to the Strategy and Transformation Group Lead Team, including diary management, correspondence, meeting coordination, and support the preparation of Committee and internal briefing papers/presentation.
  • Guide and influence the administration function and ensure knowledge sharing of Corporate and Group requirements is communicated accordingly.
  • Liaise and coordinate information with external and internal key Business Unit stakeholders and committees as required.
  • Ensure compliance with corporate governance, reporting, and documentation standards.
  • Act as a central point of contact for internal and external stakeholders, ensuring timely and professional communication.
  • Drive continuous improvement in administrative processes and knowledge sharing across the team.
  • Manage sensitive information with a high degree of confidentiality and professionalism.

Key skills and experience:

  • Substantial support and administrative experience in a similar role within a large state-wide multifunctional organisation.
  • Sound knowledge of the procedures and protocols for Board, Executive and other Committee Meeting Papers.
  • High-level proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with document and records management systems (e.g., SharePoint).
  • Exceptional organisational and time management skills, with the ability to manage multiple priorities and deadlines.
  • Excellent interpersonal and communication skills, with a strong customer service orientation.
  • Demonstrated initiative, problem-solving ability, and sound judgment.
