As the Advancement Services Assistant, you will be responsible for processing information to support alumni and fundraising programs for the University. You will be joining a collaborative and supportive team who aim to help students and researchers achieve their goals.

In this role you will:

  • Process philanthropic and sponsorship income and the associated donor correspondence, including invoices.
  • Track and reconcile records of philanthropic and sponsorship income between University systems in order to confirm financial records are accurate.
  • Process operational expenditure for the Advancement Operations team.

This fixed term (until Feb ’25) is full time, and is located at the Newcastle City Campus.

What we offer

The remuneration for this position is from $71,626 to $77,858 + 17% superannuation and is commensurate with skills and experience.

About the Unit

The Office of Alumni and Philanthropy (OAP) sits within the Global Engagement and Partnerships Division and leads the implementation of the University of Newcastle’s Advancement Strategy. The practice of Advancement (alumni and philanthropic engagement) plays a key role in the delivery of Looking Ahead, the University of Newcastle Strategic Plan 2020-2025, and achieving its goals. The OAP is comprised of 4 teams, being Alumni Programs, Community Fundraising and Donor Relations, Philanthropy and Advancement Operations.

The Advancement Services Assistant sits within the Advancement Operations team, which collaborates across the OAP, Colleges and Divisions to deliver advancement leadership, advice, and support with relation to: philanthropic gift acceptance, governance and implementation; alumni and donor reporting, advancement information management and system improvement; and the delivery of business operations, processes, planning and reporting for the work led through the OAP

  1. Demonstrated experience processing financial transactions and information in complex online systems, with a high attention to detail and level of accuracy, and proficiency in the use of MS Office to produce user-friendly reports.
  2. Well-developed written and verbal communication skills and demonstrated experience and commitment to working in a client-focussed manner at all times, providing exceptional customer service for people across various levels of an organisation and for key external stakeholders.
  3. Excellent organisational skills with the demonstrated ability to manage competing priorities, use sound judgement for complex data tasks, and deliver work of a high quality on time.
  4. Demonstrated experience in taking ownership and driving innovation, process improvement and contributing to overall corporate operations, with the ability to work flexibly, independently and as an effective team member whilst maintaining high levels of sensitivity and confidentiality.
