Are you an information governance specialist ready to make a real impact? We are seeking a Senior Records and Information Governance Advisor to provide specialist advice, leadership and operational support in implementing and maintaining the University of Newcastle's information management and governance framework.
About the Role
Working under broad direction within Records Governance Services, Digital Technology Solutions, you will support the management of records and information assets across their full lifecycle — spanning enterprise business systems, Microsoft 365, collaboration platforms, cloud services and designated recordkeeping systems.
Your key accountabilities will include:
- Information and Records Governance — Providing specialist advice on information governance, records management, privacy, retention and disposal obligations, and implementation of the University's Information Management and Governance Framework.
- Enterprise Recordkeeping Systems — Acting as senior administrator for the enterprise EDRMS and approved recordkeeping platforms, leading configuration, testing, upgrades and integration activities.
- Information Access, eDiscovery and Legal Hold Management — Coordinating routine ediscovery, legal holds and information retrieval activities, and supporting Legal Services and business units in responding to information access requests, regulatory reviews and audits.
- Microsoft 365 Information Governance — Supporting the implementation and administration of information governance controls across Microsoft 365, including governance of SharePoint Online, Teams and OneDrive.
- Information Lifecycle Management — Supporting retention and disposal activities across physical and digital records, providing guidance on sentencing, disposal authorities and lifecycle controls.
- Business Partnership and Advisory Services — Collaborating with stakeholders to identify information governance risks and opportunities, and advising on system implementations and digital transformation initiatives.
- Data Analytics and Reporting — Developing performance metrics and governance reporting, analysing trends and compliance outcomes, and preparing reports for senior management and governance committees.
This continuing position is full time at a HEW 7 Higher Education Level located at Callaghan Campus.

About the Business Unit
Records Governance Services (RGS) sits within Digital Technology Solutions, reporting to the Chief Digital & Information Officer. RGS is responsible for the oversight and implementation of the University's records and information management program, including information governance, retention and disposal, recordkeeping training, assessing recordkeeping functionality of new and existing systems, compliance monitoring, and administration of the enterprise EDRMS.
