About the Position:
About Smiles Circular Quay is looking for an experienced Treatment Coordinator/Dental Receptionist to join our cosmetic-focused practice on a full-time basis Monday to Friday.
As the first point of contact, you’ll play a key role in creating a warm and welcoming experience for every patient who walks through our doors, while also supporting treatment coordination—helping patients understand their options, feel confident in their care, and move smoothly through their treatment journey.

Key Responsibilities:
- Greet patients warmly, manage check-in/check-out, and coordinate appointment scheduling to ensure a smooth and welcoming experience.
- Guide patients through their treatment plans by clearly explaining procedures, timelines, and costs. Build trust and ensure patients feel informed and confident in proceeding with recommended care.
- Coordinate treatment schedules and manage financial discussions, including preparing quotes, explaining payment options, and assisting with payment plans or insurance where applicable.
- Act as the key point of contact for patients throughout their journey. Follow up on pending treatments, manage appointment flow, and ensure a seamless, high-quality patient experience from consultation to completion.
- Handle phone calls, emails, and patient enquiries, providing clear information about treatments and resolving concerns in a professional manner.
- Maintain accurate and confidential patient records in line with compliance requirements and clinic protocols.
- Ensure the reception area is well-presented, organised, and fully stocked to support smooth daily operations.

What do you need to succeed:
- Prior experience in treatment coordination or dental reception is essential
- Strong communication skills with the ability to explain treatment options clearly and confidently
- Strong organisation and attention to detail to manage multiple patients and priorities
- Capability to address patient concerns and resolve issues with professionalism and empathy
