A temporary full time position is available in the North Lakes Regional Office, North Coast Region for an Executive Services Officer to provide high level quality executive and administrative support to two Assistant Regional Directors and two Principal Advisors.
This temporary vacancy is available as soon as possible for a period of 6 months, unless otherwise determined.
About the Opportunity:
As the Executive Services Officer you will:
- Provide high level efficient, effective and confidential executive and administrative services to a team of Assistant Regional Directors and senior officers.
- Undertake a range of administrative and data related activities to support the interrogation, retrieval, analysis and presentation of data for use by Assistant Regional Directors and other senior officers.
- Assist in ensuring the accuracy, reliability and security of data required for analytical and reporting purposes.
- Prepare, coordinate and disseminate relevant information and liaise with a diverse range of departmental clients (principals and regional teams) and community bodies on behalf of regional officers, specific to the function and in support of the operation of the regional office.
About the Role:
You will have responsibility for leading the following activities and undertaking the following key tasks:
- Schedule appointments and maintain executive and senior officer diaries, receive and assist visitors, identify client needs and redirect telephone calls.
- Coordinate and organise travel and accommodation.
- Use departmental tools and resources to retrieve data stored in corporate information systems and databases, and analyse and present this data in various formats for use by Assistant Regional Directors and other regional staff ensuring timeliness, accuracy and efficiency of processes.
- Contribute to the review and improvement of methodologies for processing, maintaining and analysing data, ensuring timeliness, accuracy and efficiency of processes.
- Take minutes of meetings and distribute to attendees, coordinate room bookings and functions and organise and provide support to selection and recruitment processes chaired by senior officers.
- Provide advice regarding office administrative procedures, provide word processing services and produce advanced desktop published documents i.e. OneNote, PowerPoint, Excel and Word.
- Maintain an efficient filing system of correspondence, expenditure and records and monitor the flow of correspondence.
What you need to succeed:
While there are no mandatory qualifications, it would be desirable for the successful candidate to possess the following:
- Previous PA experience.
- Diary management skills.
- Content Manager knowledge.
- Experience in generating and manipulating data.
- Intermediate Microsoft Office skills, particularly in Excel.
- Time management skills.
- Strong interpersonal and communication skills.
