Our Service:

The Medicare Mental Health Centre service model is tailored to the needs of the local community and offers a combination of peer-led recovery and clinical support to provide a safe, welcoming and supportive environment for people experiencing psychological distress. Allowing low risk individuals to identify alternatives to presenting to the Emergency Department and gaining access support from trained mental health professional within their community, outside a clinical setting.

Role overview:

  • Setting appointments for Medicare Mental Health Centre Staff
  • Effectively manage multiple priorities in a high-traffic, customer-facing reception environment, including supporting walk-in consumers, scheduled appointments, phone enquiries, centre inbox management, staff support, and co-located service providers.
  • Maintain and navigate customer management databases, Outlook calendars, and other booking systems used by the centre.
  • Deliver clear and helpful information about the service across face-to-face, phone, and email enquiries.
  • Create electronic records for new referrals, enter enquiries into the CRM, and document client interactions as required, including maintaining brief case notes.
  • Provide secretarial support as required for meetings, including agenda preparation, arrange catering and minute taking.
  • General office administration:
  • Mail collection, office orders, stationery supplies and consumables
  • Maintain clean, organised, and welcoming communal and guest areas, including the reception area, consult rooms, kitchen, supply cupboards, and boardrooms.
  • Coordinating package pick-up and collection when necessary
  • Processing invoices and credit card receipts
  • Provide fleet vehicle support, including monthly checks, staff vehicle bookings, and key management.
  • Other duties relevant to the position as required

 

Requirements:

  • Ideally a Cert III in Business Administration or similar qualification
  • Excellent organisation skills with the ability to prioritise, meet deadlines, and work well under pressure
  • Must have experience providing administration support to a team ideally within a health related service
  • Ability to manage communications and information with a range of stakeholders
  • Ability to maintain a calm, pleasant and respectful manner and to deal with a diverse range of people
  • Excellent interpersonal skills and communication skills (written and verbal).
  • Demonstrated ability to take initiative, problem solve and work flexibly and seek counsel where appropriate
  • Demonstrated computer knowledge with skill in Microsoft Office programs
  • A positive attitude that is, respectful, inclusive and enthusiastic.
  • Must be eligible to apply/currently hold a Blue Card
  • Must hold/be willing to apply for NDIS worker screening clearance
