About the Role

Responsibilities

  • Coordinate all administration deliverables related to proposals and tenders.
  • Maintain all Tender Portals used by SIMPEC for receiving and submitting tenders
  • Assistance with the screening of incoming tenders and selection of tenders and Expression of Interests that are aligned with SIMPEC’s capabilities and long-term strategic goals.
  • Maintain templates, formatting bid material, upholding document control and building an accurate library of information to support the tender process.
  • Maintain and update project document control and correspondence registers and filing systems, including issuing of project specific document numbers and maintain version control.
  • Monitoring incoming tender information and distribution of updated information to relevant stakeholders.
  • Collaborating with internal stakeholders and providing administrative updates on tenders.
  • Allocation of tasks and follow up of stakeholders in a timely manner to ensure all documents are received on time as per assigned deadlines that allow for maximum preparation.
  • Collation of information required for preparation of tender documents,
  • Maintain data to ensure accurate and timely reporting.
  • Create and issue a weekly/monthly dashboard summarising Tender and Proposals team activity and updates.
  • Monitor and review processes to ensure adherence, governance, and auditability.
  • Effectively cooperate and communicate with Tender and Proposals team to provide day-to-day administrative support.

Skills and experience

  • 3-5 years industry experience in a similar role, desirable
  • Relevant qualification/s in appropriate discipline e.g. Cert IV in Business Administration, or equivalent demonstrated competency.
  • Demonstrated administration background with previous exposure to Tender and Proposals.
  • Well-developed interpersonal and communication skills (written and verbal) with the ability to build positive working relationships at all levels.
  • High level of proficiency and expertise using document management systems, Adobe and Microsoft Office Suite (SharePoint, Word and Excel in particular).
  • Developed time management skills to effectively manage competing priorities and meeting deadlines.
  • Strong leadership skills with the ability to effectively work both within a team and autonomously, be proactive and able to use initiative.
  • Problem solving skills, high attention to detail and self-discipline.
