About the Role
Based at the Ruah Centre for Women and Children in Northbridge, the Administration Officer supports the administration functions of Ruah Community Services, including the Karlup Service.
The role provides reception and administrative support across both the Ruah Community Services Head Office and the Karlup Service floor, rotating between service areas to deliver a welcoming, professional and efficient experience for clients, visitors, staff and stakeholders.
This is a busy and varied role suited to an experienced administrator who thrives in a fast-paced environment, enjoys helping people and takes pride in delivering exceptional customer service. You will play an important role in ensuring the smooth day-to-day operation of services while supporting a safe, inclusive and culturally welcoming environment.
This is a full-time, maximum-term contract until 19 February 2027, working Monday to Friday, 8:30am to 4:30pm.
Key Responsibilities
- Provide professional reception services, including welcoming and assisting clients, visitors and stakeholders.
- Answer and direct telephone enquiries in a professional and timely manner.
- Manage incoming and outgoing mail, meeting room bookings and pool vehicle bookings.
- Support travel arrangements, workshops, stakeholder meetings, staff events and training activities.
- Maintain office and kitchen supplies, equipment, staff contact lists and security access cards.
- Manage shared inboxes and ensure enquiries are directed appropriately.
- Assist with client bookings and appointment administration, including Medicare and HICAPS processing where required.
- Maintain reception and meeting spaces to ensure a professional and welcoming environment.
- Build positive relationships with clients, visitors, colleagues and external stakeholders.
- Contribute to a welcoming, inclusive and culturally safe environment for clients, visitors and colleagues.
What we’re looking for
To be successful in this role, you will demonstrate:
- Experience in a reception and/or office administration role.
- Strong computer skills, including Microsoft Word, Excel and Outlook.
- Excellent customer service skills, with strong interpersonal, written and verbal communication abilities.
- Well-developed organisational and time management skills, with the ability to manage competing priorities and meet deadlines.
- Ability to work independently while contributing positively to a collaborative team environment.
- A demonstrated commitment to diversity, inclusion and culturally safe practice.
Desirable
- Completion of high school or Certificate III in Business Administration.
- Previous experience working in a not-for-profit or community services organisation.
- Knowledge and understanding of diversity, social inclusion and cultural safety, including Aboriginal culture and communities.

- Salary aligned with Level 3 of the Ruah Enterprise Agreement and SCHADS Award, commencing at $80,265 plus superannuation.
