The Opportunity: 

We are looking for a self-starter with a "can-do" attitude, that can take ownership of tasks & has a strong sense of urgency; with the ability to work autonomously as well as in a team environment. This role will offer you a broad scope of responsibilities and exposure to different areas of the business and stakeholders. It is a fantastic opportunity to make a difference and drive change. Your day to day will include:

  • Provide executive administrative support to the Victorian Manager and wider Leadership Team
  • Supporting project managers to meet their clients’ needs
  • Lodging of building permit/occupancy permit records diligently on Building Activity Management Systems (BAMS) and through Victorian Building Authority
  • Liaising with Councils and lodging building permit applications and occupancy certificates
  • Preparing fee proposals and preparation of major tenders
  • Minute taking internal meetings and leadership meetings.
  • Prepare and generate accurate invoicing and debtor recovery
  • Systems administrator for our operating software (BCS)
  • Prepare templates as required to support the ongoing procurement of building certification.
  • Communicating, and maintaining relationships with internal and external stakeholders;
  • Answering calls and directing enquiries to those relevant
  • General office tasks such as data entry, filing, raising purchase orders.
  • Setting up administration processes and procedures

What you bring: 

  • Prior experience in office administration essential
  • Excellent organisational skills with a high level of attention to detail and accuracy
  • An ability to work flexibly and adapt to a changing environment
  • Solid interpersonal and communication skills. 
  • Tech savvy mentality with MS Office skills at an intermediate to advanced level. 
  • Ability to work under pressure to meet deadlines
  • A team player is a must, but you need to also be comfortable operating autonomously and happy to be self-directed
  • A friendly, helpful and proactive disposition
  • A high level of accuracy
