We are looking for a proactive and professional Executive Assistant to support our Chief Commercial and Aviation Officer. This pivotal role offers the opportunity to operate at the heart of the business, engaging with internal and external stakeholders, and contributing to critical projects and executive priorities.
About the role
- Provide high level executive administrative support to the Chief Commercial and Aviation Officer and broader team, managing calendars, travel, correspondence, and communications.
- Prepare agendas, reports, presentations and board papers, ensuring accuracy and alignment with brand standards.
- Coordinate high level stakeholder engagements, events, and internal communications with professionalism and diplomacy.
- Maintain document and records management systems, oversee administrative processes, and support office efficiency.
- Provide financial administration support, including purchase orders, invoice processing, accruals, and budget tracking.
- Collaborate on strategic projects, business initiatives and process improvement efforts across the executive office.
- Act as a key liaison across teams and departments, fostering strong internal and external relationships.
- Represent the executive office with a high level of integrity, professionalism, and service excellence.
About you
- Extensive experience supporting senior and executive leaders, complemented by relevant tertiary qualifications such as a Certificate IV in Business Administration (or equivalent).
- Strong commercial acumen, with a sound understanding of business fundamentals within marketing, brand and digital, retail or commercial industries.
- Highly proficient across the Microsoft Office Suite, with advanced skills in document formatting, presentation development, and digital collaboration tools (experience with systems such as TechOne, Ci Anywhere, and InDesign will be highly regarded)
- Excellent written and verbal communication skills, enabling effective and professional engagement with stakeholders at all levels.
- You possess excellent organisational and planning capabilities, with the ability to manage multiple priorities and deadlines in a dynamic environment.
- Adaptable with a solution focused mindset able to shift priorities while maintaining high quality outcomes.
- You establish and maintain productive working relationships across teams and are recognised for your collaborative and approachable working style.
- You bring a proactive mindset and demonstrate initiative, contributing to a high performing and positive workplace culture.
