About the role 

We are looking for an experienced administrator to provide high-level business and operational support to our Planning & Projects team as Business Operations Support Officer. You will be a trusted point of coordination, bringing structure to day-to-day operations, supporting financial and procurement processes, and ensuring information, meetings and actions are managed effectively.  

This is a varied, hands-on role suited to someone who enjoys working across multiple priorities, building strong internal relationships, and improving the way things are done. You will be accountable for, but not limited to the following: 

  • Provide responsive day-to-day support including calendar management, meeting coordination, agenda preparation, room/venue bookings, and travel arrangements.
  • Take accurate minutes, maintain action registers, follow up actions with owners, and ensure records are stored in line with document control requirements.
  • Maintain templates, registers, and SharePoint sites (permissions, folders, version control) so information is easy to find and up to date.
  • Raise purchase orders, receipting, invoice processing, monthly accrual support, and corporate credit card reconciliations in accordance with policy and delegated authority.
  • Coordinate onboarding administration, uniform orders, workspace moves, stationery/business cards, and general team requirements.
  • Act as a professional first point of contact for queries, coordinate responses, and build strong working relationships across the organisation.
  • Identify inefficiencies, propose practical improvements, and help standardise processes and ways of working. 

About You 

You will be a proactive, detail-focused administrator who can confidently coordinate meetings and team logistics, manage procurement and invoice processing, and support effective document control across various systems while building strong stakeholder relationships. To succeed in this role, you will have: 

  • Min 5 years’ experience in an administration, business support, or operations coordination role.
  • Proficiency in learning and using enterprise systems (e.g., TechOne, MMS, CI Anywhere or similar) and maintaining accurate records.
  • Demonstrated experience with purchasing, invoices, receipting, reconciliations, and supporting month-end activities (accruals).
  • Ability to manage competing tasks, work to deadlines, and stay calm and methodical in a fast-paced environment.
  • High attention to detail, producing accurate work by verifying information before submission and following through on actions.
  • Clear written communication and professional, confident stakeholder engagement.
  • Strong working knowledge of MS Office Suite including SharePoint.
  • Confidence and ability to handle sensitive information appropriately and exercises sound judgement.
  • Proactive, dependable and service-oriented, with a practical “can do” attitude.
