At Parliamentary Service, we work at the heart of New Zealand’s democracy to provide excellent service to Members of Parliament. Our people are what set us apart — skilled, purpose-led and truly world-class. Alongside us is the Office of the Clerk, together supporting the mahi that enables Parliament to function.
The Corporate Services group supports Parliament through the provision of trusted library, information, research, engagement, finance, IST and relationship management services.
You’ll join a high-trust network of EA & Group Coordinators, working closely with the Deputy Chief Executive – Corporate Services, the Chief Information Officer, and the wider Corporate Services leadership team.
Mō te tūnga | About the role
In this varied and fast-paced role, you will provide both executive support and group coordination to ensure leaders and teams can focus on what matters most.
You will:
- Own executive support for the DCE: proactive diary and inbox management, scheduling and meeting preparation, travel and logistics.
- Support the Chief Information Officer with diary management, prioritisation and administrative coordination.
- Run committees and meetings end-to-end: venue and equipment, agendas, papers, minutes and timely follow-ups.
- Anticipate needs, triage communications, resolve issues on behalf of leaders, and source accurate, timely information.
- Steward confidential information with sound judgement, discretion and political sensitivity.
- Provide group coordination for Corporate Services: team rhythms, group meetings, papers and information flow.
- Prepare polished documents, correspondence, reports, spreadsheets, presentations and minutes with accuracy and pace.
- Support group activities and projects — recruitment logistics, annual reporting inputs, election projects and other initiatives.
- Enable great onboarding and culture by welcoming new starters and supporting team communications.
- Keep the engine room running: expenses, approvals, invoices, forecasting and accruals, while maintaining tidy records and supplies.
- Coordinate tikanga-based services and cultural engagements, building strong supplier relationships and supporting event organisers.
This is a full-time fixed-term role through to January 2027.

You’re an experienced operator who enjoys being the calm centre of a busy environment. Your CV will show:
- Background as an EA, Office Manager or Senior Administrator in a complex environment.
- Proficiency with Microsoft 365 and the confidence to learn in-house systems quickly.
- Experience with financial administration and reporting (expenses, invoicing, accruals/forecasting).
- Good appreciation of corporate service delivery; knowledge of Parliament and its processes is an advantage.
And you’ll be known for:
- Exceptional organisation and time management — reliable, methodical and fast without sacrificing quality.
- Flexibility, initiative and a can-do approach, comfortable juggling multiple priorities and deadlines.
- Strong written and verbal communication with excellent interpersonal skills.
- Sound judgement, discretion and political sensitivity when handling confidential matters.
- A customer service mindset and the ability to work both independently and as part of a team.

The appointing salary range for this role is $72,374 to $79,907 per annum. Appointments will be based on skills and experience (please note, the full salary range extends beyond this).
