We’re looking for an Executive Assistant to support Carl Bates, MP by providing high level administrative coordination and ensuring their day runs seamlessly.

About the role | Mō te tūranga:

As an Executive Assistant, you will play a key role in ensuring the Member is always in the right place, with the right information, at the right time. You’ll manage diaries, travel, correspondence, briefing materials, and provide support for meetings, functions, and events.

You’ll be trusted to use sound judgement, protect confidential information, and manage competing priorities with ease.

  • Coordinate and manage the Member’s diary to ensure smooth scheduling.
  • Prepare the Member for meetings with agendas, papers, and relevant briefing material.
  • Respond to correspondence and emails, escalating where appropriate.
  • Organise travel arrangements and itineraries.
  • Support administrative processes such as budgeting, tracking expenditure, and P‑card management.
  • Coordinate meetings and events, including invitations, logistics, and minute taking.
  • Liaise with the Electorate office team to ensure alignment and accurate scheduling.
  • Compile information and undertake research as requested.

Ideally the 20 hours would be worked on Tuesday to Thursday in weeks when the House sits. Hours would be more flexible in non-sitting weeks.

This role requires political neutrality at all times. The pay band for the role starts at $74,720 (full time equivalent) Appointments will be based on skills and experience (please note, the full salary range extends beyond this to allow for tenure progression).
