An opportunity has presented itself for a Team Assistant to join our NSW Coal team, this is a 12-month max term contract opportunity and will be based at our depot based in Newcastle NSW.

What You’ll Do

Reporting to the Regional Manager, you will support our operations across our NSW Coal Hunter Region. Provide high-quality administrative and operational support to regional operational leaders in a fast-paced, confidential environment.

Key responsibilities will include:

  • Provide end-to-end administrative support to the regional leadership team
  • Assist with day-to-day operations across offices and depots
  • Coordinate meetings, calendars, agendas, minutes, and actions
  • Manage invoices, purchase orders, correspondence, and document control
  • Support travel, accommodation, and logistics for the operations team
  • Arrange functions, meetings, venues, catering, and equipment hire
  • Maintain databases, registers, and operational records
  • Support approved sponsorship activities within the region
  • Contribute to continuous improvement initiatives and streamlined processes

What You’ll Bring

  • Proven experience providing team or executive administration support, ideally in an operations or heavy industry environment
  • Strong organisational skills with the ability to manage competing priorities and tight deadlines
  • Excellent communication skills with the ability to engage across all levels of the business and with external suppliers
  • High level of discretion and professionalism when handling confidential information
  • Strong initiative and problem-solving skills, with the ability to work autonomously
  • Proficiency across the Microsoft Office suite, particularly Teams, Word, PowerPoint, and Excel
  • Current Australian driver’s licence
  • Flexible to travel to different locations throughout the region when required
