Position Summary
The Program Specialist will provide dedicated support to the EPIC department of a large integrated healthcare system within a managed service program (MSP) framework. This role will oversee the day-to-day contingent labor operations tied to EPIC-related roles, ensuring accurate requisition processing, compliance adherence, supplier coordination and performance tracking. The Program Specialist will serve as a central point of contact for Hiring Managers, suppliers and internal stakeholders throughout the engagement lifecycle.
Key Responsibilities
Requisition Support and Lifecycle Management
- Owns the full lifecycle of contingent worker requisitions related to EPIC system roles (e.g., Application Analysts, Trainers, Builders, Go-Live Support, PMs)
- Release requisitions via VMS (Fieldglass) following intake completion and ensure supplier distribution is appropriate for the requested role type and location
Supplier Engagement and EPIC Talent Sourcing
- Coordinate closely with suppliers in EPIC staffing to ensure qualified candidate submissions
- Conduct supplier weekly calls to clarify project details, timelines and role-specific nuances
- Escalate sourcing gaps or delays
Onboarding and Compliance Oversight
- Manage onboarding workflows for EPIC contractors including background checks, EPIC system access, VMS access
- Track completion of all onboarding tasks and partner with internal teams
- Monitor onboarding timelines to ensure readiness for key project milestones (e.g. EPIC go-lives)
Reporting and Data Management
- Maintain dashboards and trackers for requisition status, aging, onboarding progress and worker end dates
- Review and update weekly notes in Fieldglass to provide real-time status visibility
- Identify patterns in EPIC hiring activity and report on supplier performance, compliance gaps and cost impact
Hiring Manager and Stakeholder Support
- Serve as the primary point of contact for EPIC department Hiring Managers throughout the contingent hiring process
- Conduct training sessions and 1:1 walkthroughs with new or inactive EPIC Hiring Managers to ensure understanding of MSP processes, compliance steps and requisition workflows
- Monitor manager response times and follow-up on delayed interviews, onboarding approvals or timecard submissions
Process Optimization and Program Growth
- Participate in continuous improvement initiatives, including EPIC-specific onboarding improvements and workflow optimizations
- Partner with program leadership to implement solutions for sourcing challenges and budget tracking issues

What We Provide You:
The salary at hire is expected to be between $61-66k per year. Performance-based variable compensation may be provided as part of the compensation package.
