How You Will Impact Company Success
The VMS Reporting Specialist is responsible for building, maintaining, enhancing, and updating our suite of VMS reporting for all clients using a VMS, which will include, but not be limited to; Fieldglass, Beeline, VNDLY, COUPA, Elevate. The Specialist will create and configure reporting during go live for new clients, rebuild the reporting suite if/when a new VMS is implemented as well as audit and maintain all reporting for all VMS instances throughout the lifecycle of the client relationship.
The VMS Reporting Specialist will come with subject matter expertise regarding the logic of how Vendor Management Systems, track and report data, as well as how Program Teams and Clients use Vendor Management Systems allowing the Specialist to use their knowledge to build timely and accurate reports that accurately measure target metrics and provide meaningful and impactful statistics.
Key Measurements of success for this role includes:
- On-time completion of new reporting suite for new client VMS implementation
- Periodic maintenance, review and updating of existing reports
- On time response to initial, on demand requests for new reports
- Consultative engagement with program teams and clients on reporting usage
What Are Your Key Accountabilities / Tasks
- Build New VMS Reporting Libraries During Client Implementation – New Clients and Relaunching a VMS With Existing Clients
- Participate in all discovery sessions and document requirements regarding a client’s data needs, includes understanding the intent of what client wants the data for, not just the data
- Validate needs against existing/stock reporting library
- Participate in VMS configuration and validate that the VMS is configured to capture reporting requirements
- Configure existing reports, and build new reports as needed
- Build clients reporting schedule into reporting calendar
- Work with program teams to help them understand how to quickly pull ad-hoc reports
- Educate client and program team on reporting capabilities to better set expectations
- Take reporting requests from client/program teams
- Educate program teams on how to pull, just in time, ad-hoc reports
- Create and store documentation on how to pull reports
- On time execution of assigned tasks
- Maintain Existing VMS Reporting Libraries
- Establish a schedule to engage across programs to review each reporting library
- Partner with program teams and clients if applicable to understand reporting needs, compared to existing reports
- Update reporting suite as necessary, reconfirm or establish reporting calendar
- Educate client and program teams on reporting capabilities to better set expectations
- Educate program teams to help them understand how to quickly pull ad-hoc reports
- Partner with Operations Analyst during ops review to evaluate VMS configuration and workflows to understand if they support reporting and data capture
- With support from Manager of Reporting and Data Analytics work with program teams to educate them on best practices to support data hygiene
- Validate Reporting Integrity
- Audit reporting, evaluate targeted data metrics and reporting purpose, revalidate reporting logic and accuracy
- Escalate critical issues to Manager of Reporting and Data Analytics, Program Teams and Leadership with recommendations for resolution
What You Will Bring Here
- Bachelor’s Degree – computer science, business information systems, computing and systems development, business management preferred
- 3-5 Years of related work experience, with intimate knowledge of how Vendor Management Systems are used with a specific focus on building reports in Vendor Management Systems
Desired Technical Skills and Knowledge
- Strong knowledge of VMS Systems such as Fieldglass, Beeline, VNDLY, COUPA, Elevate
- Ability to translate business requirements via reporting
- General knowledge of Help Desk Support tools such as Freshdesk or JIRA
- General knowledge of HRIS systems, Timekeeping Systems, and Financial Systems where VMS data feeds to
- General knowledge of workflow Process Tools such as Visio
- Good working knowledge of Microsoft Word, PowerPoint, SharePoint and Teams
- Advanced Excel skills, including Pivot Tables, VLOOKUP
- Knowledge of SQL
- Familiarity with deployment and utilization of various Apps such as Planner, Tracking Time, Forms, etc.

The salary at hire is expected to be between $80,000 - $90,000 per year. Performance based variable compensation of up to 5% may be provided as part of the compensation package, in addition to the benefits listed above in this posting.
