ABOUT THE ROLE

We are seeking a Certified Contracts and Proposals Administrator to join our team. This individual contributor role is responsible for managing the preparation, review, and administration of contracts and proposals, ensuring compliance with company policies, legal requirements, and client specifications. You’ll play a critical role in supporting contract negotiations, proposal responses, and compliance reporting. 

Key Responsibilities

  • Prepare, review, and administer contracts and proposals in response to RFPs, RFQs, and solicitations. 
  • Maintain and manage the contract database (Malbek) for clients, vendors, and suppliers. 
  • Draft, revise, and oversee agreements including SOWs, NDAs, MSAs, and IC agreements. 
  • Monitor contract performance, deadlines, and compliance metrics. 
  • Collaborate with internal teams to ensure seamless supplier and contractor onboarding. 
  • Lead corporate compliance activities including insurance certifications, diversity certifications, and entity renewals. 
  • Partner with compliance vendors (e.g., myCOI) and internal stakeholders to resolve issues and maintain standards. 

Education & Experience

  • Certified Contracts Manager (CCM) or equivalent certification required. 
  • Bachelor’s degree in Business Administration, Legal Studies, or related field. 
  • 3–5 years of experience in contract administration and proposal management. 
  • Strong knowledge of contract law, procurement processes, and compliance standards. 
  • Proficiency in contract management software (Malbek, Adobe Sign preferred). 
  • Experience in workforce solutions, contingent labor, or talent acquisition (minimum 1 year). 

Technical Skills 

  • Advanced proficiency in MS Office (Word, Excel, Outlook, PowerPoint). 
  • Experience with SharePoint, DocuSign, Adobe Sign, and document management tools. 
  • Familiarity with VMS and COI management tools preferred. 

Soft Skills

  • Ability to manage multiple projects under tight deadlines. 
  • Strong analytical and problem-solving skills. 
  • Clear and effective communication (written and verbal). 
  • Collaborative, adaptable, and detail-oriented. 
  • High personal accountability and follow-through. 

Work Conditions & Travel

This job operates in a remote environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This is largely a sedentary role; however, it may require the ability to lift files or other objects (up to fifteen pounds). Minimal travel may be required, including the below required travel.

The salary at hire is expected to be between $75-85k per year. Performance-based variable compensation may be provided as part of the compensation package.
