How You Will Impact Company Success
The Supplier Partnerships Specialist is required to develop a complete understanding of nextSource’s strategic supplier partner process, methodology, and deployment and will develop the ability to identify and communicate the integrity of our supplier management process, our value proposition, and competitive advantage of our solution to prospects, internal resources, and partners.
The Supplier Partnerships Specialist is responsible for owning the supplier audits schedule in addition to data collection and supplier follow-up. This role will work closely with the Director to analyze the audit results. This role will also assist with supplier and IC onboarding, managing Freshdesk tickets for supplier audits and partnerships, and working as part of an overall supplier partnerships team. The Supplier Partnerships Specialist will at times be involved in program-related activities, these may include but not be limited to, SOP creation, process excellence activities, go live implementations, and clean-up activities related to audits, data storage, and contract storage.
What Are Your Key Accountabilities / Tasks
ACCOUNTABILITY 1: ONGOING SUPPLIER MANAGEMENT THROUGH AUDITS
- Perform supplier audits, as required per supplier contract/customer terms as instructed by Director, Supplier Partnerships, and program office.
- Communicate to suppliers and send out audit information.
- Audit each record received and document deficiencies.
- Evaluate records to compile results for internal consumption by leadership and program teams and communicate to supplier outcome of the audit.
- Create PowerPoint presentations of the results.
- Work with the director to present these to the client and program teams.
ACCOUNTABILITY 2: SUPPLIER IDENTIFICATION AND ONBOARDING
- Maintaining, monitoring, or organizing information for supplier prospects and new suppliers.
- Partner with program teams and contracts team to track the administration of suppliers contracts.
- Ensure proper communications in the supplier contracting process, to ensure maximum participation/availability.
- Vet all documentation, including W9, ACH, COI in bunker portal, Supplier information and any required documentation per the program team.
- Ensure proper tracking of enrollment efforts and daily updates of tracking reports for the program team on the supplier onboarding tracker.
- Facilitating supplier set up in GP through AP and track.
- Supplier set-up in QuickBase and documenting their diversity status, location, skill sets and additional information.
- Work with the helpdesk team to ensure suppliers are set up in VMS.
- Ensure all documentation is complete before activating the supplier.
- Collect and manage supplier data through new client implementations
- Lead customer implementation calls related to supplier onboarding/contracting.
ACCOUNTABILITY 3: ONGOING SUPPLIER MANAGEMENT
- Serve as nextSource POC for the supplier partnerships inbox in Freshdesk and manage to the 4 hour KPI response time.
- Speak with supplier prospects on a weekly basis and document information in QuickBase.
- Maintain a "customer service" rapport with the suppliers and ensure open communications.
- Build and maintain notes on advancements, new opportunities to highlight periodically throughout the partnership.
- Maintain supplier database (quick base) with current information.
- Ensure management of all document storage/retention requirements
- When possible, meet in person with the supplier for ongoing relationship building and supplier advocacy.
- Assist with preparation for supplier town halls, forums, and scorecard sessions.
ACCOUNTABILITY 4: OFFBOARDING SUPPLIERS (SUNSET AND TERMINATION)
- Work with contracts to send communications to suppliers regarding the change in status as an approved partner.
- Facilitate any calls with the program team to ensure the supplier partner is aware of the rationale for the change.
- Ensure final invoice is processed.
- Ensure helpdesk deactivates supplier in VMS.
- Ensure contracts terminate the agreement.

- Strong analysis skills and sound decision-making skills.
- Experience using various VMS tools and their reporting platforms.
Work Conditions
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This is largely a sedentary role; however, it may require the ability to lift files or other objects (up to 15 pounds).

The salary at hire for experienced candidates is expected to be between $52K - $57K per year. Performance-based variable compensation may be provided as part of the compensation package.
