Position: Executive Assistant to Chief Legal & Risk Officer (Contract) 

Mode: Contract - long term 

Location: Hybrid - New York City Office

In this role, you will maximize leader impact by orchestrating complex calendars, travel, expenses, and high stakes meetings, while contributing to division wide initiatives and operational excellence.

What You Will Do

Executive Support and Administration

  • Manage complex calendars for the Chief Legal and Risk Officer and the General Counsel to optimize time and priorities
  • Coordinate division wide meetings, team retreats, and events with internal and external stakeholders
  • Schedule and manage convenings with external General Counsels
  • Arrange travel and handle expenses and budget tracking for senior leaders
  • Manage receipt, review, processing, reconciliation, and tracking of legal invoices in alignment with billing guidelines, partnering with Finance and outside counsel
  • Ensure seamless execution of in person, hybrid, and remote meetings, including preparing PowerPoint decks, agendas, and briefing materials
  • Support staff engagement and culture initiatives
  • Maintain divisional records including org charts, distribution lists, and administrative documentation

Special Projects and Strategic Initiatives

  • Support division wide initiatives and special projects on behalf of the Chief Legal and Risk Officer, General Counsel, and department leadership
  • Coordinate preparation of materials for meetings with the President or CEO, Executive Leadership Team, and the Board of Trustees and its committees
  • Identify process improvements and lead or support implementation across divisions
  • Conduct research, coordinate stakeholders, track deliverables, and monitor progress to drive results

Divisional Operations

  • Build and maintain efficient administrative systems and workflows for the division
  • Track key deliverables, deadlines, and action items and ensure timely follow up across leadership
  • Support onboarding for new team members including technology access, documentation, and scheduling
  • Establish structures for communication and knowledge sharing including skip level meetings, interactive office hours, divisional gatherings, and regular individual syncs
  • Support operational cycles such as budget setting, engagement activities, compliance training, performance management, and goal setting

About You

  • Associate or Bachelor degree preferred
  • 2 or more years providing executive level support
  • Excellent organization and prioritization skills with the ability to move multiple projects forward independently and as part of a team
  • Strong problem solving skills, including comfort using data to inform decisions
  • Outstanding written and verbal communication skills, including remote facilitation and presentations
  • Service mindset that treats the success of leaders and teams as your success
  • Proven relationship builder who works effectively across levels and functions
  • Strong technical skills in PowerPoint, Word, and Excel. Experience with Slack, Zoom, and AI tools is a plus
  • Curiosity and drive to learn and take on challenges
  • Genuine interest in mission oriented nonprofit work that improves education

 Pay Rate Range: $50-$60 per hr (Depending on Experience)
