Hours: 8:30 AM – 5:00 PM
Pay Rate: $25.00 per hour
The Executive Assistant provides high-level administrative support, receptionist duties, and event coordination support, in a fast-paced and ever-changing environment. This position provides direct support to senior management; scheduling appointments and maintains calendar; handles travel arrangements; composes a variety of correspondence and materials; prepares reports and presentation material; proofreading, screening phone calls and visitors, and additional administrative duties.
Job Requirements:
- Manage complex calendars and scheduling.
- Coordinate meetings, preparation and travel arrangements.
- Support creation of PowerPoint presentations and materials.
- Edit and write correspondence.
- Answer and place phone calls.
- Manage conference room scheduling.
- Basic event coordination.
- Serve as the first point of contact, receptionist and welcomes visitors.
Qualifications:
- Ability to maintain the strictest confidentiality.
- Initiative and judgment to independently problem solve and prioritize.
- Be a strong team player when the situation warrants.
- Experience managing multiple individuals and programs.
- Excellent planning, management, and organizational skills, with a specific skill of managing calendars and schedules.
- Excellent computer skills including fluency with Microsoft Office Word, Excel, PowerPoint, and high proficiency Google Workspace.
- Proficiency with Zoom, Webex, and other virtual conference platforms.
- Ability to learn programs specific to the department.
- 1 – 2 years executive support with Associate degree (preferred).
- Experience working in an academic environment (preferred).
- High School Diploma and 1-2 years of executive support (required).
