Position Overview
Our client is seeking an experienced and highly organized Chief of Staff / Executive Support Professional to provide critical administrative and executive-level support within the Office of the Dean. This role will serve as a trusted partner, managing complex schedules, supporting executive communications, coordinating meetings and travel, and ensuring the smooth operation of day-to-day administrative activities.
The ideal candidate is a proactive professional with exceptional organizational skills, strong attention to detail, and the ability to effectively manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Manage complex calendars, schedules, and executive time management.
- Draft, edit, and manage professional correspondence, including emails, letters, and other communications.
- Coordinate and prepare materials for meetings, presentations, and executive briefings.
- Arrange and manage travel logistics and itineraries.
- Provide direct executive support to senior leadership.
- Assist with administrative projects and special assignments.
- Maintain confidentiality while handling sensitive information.
- Support overall office operations and administrative functions.
Required Qualifications
- Associate degree (AA) or equivalent combination of education and experience.
- 3–5 years of executive assistant, administrative support, office management, or related experience.
- Demonstrated experience supporting senior leaders or executives.
- Strong calendar management and scheduling experience.
- Excellent written communication skills with experience drafting professional correspondence.
- Proficiency in Microsoft Office Suite and Google Workspace.
- Exceptional organizational, time management, and multitasking abilities.
- Ability to work independently and prioritize competing deadlines.
Preferred Qualifications
- Experience coordinating executive meetings and preparing meeting materials.
- Travel coordination and itinerary management experience.
- Event planning or event coordination experience.
- Experience supporting executive leadership within a professional office environment.
