We currently have an exciting new opportunity for a mature and professional Executive Assistant to the CFO.
The purpose of this role is to ensure the efficient and smooth running within the CFO Portfolio by providing confidential and professional executive assistance and administrative support to the Chief of the business unit. The Executive Assistant plays a critical role to ensure that both the Chief and leaders can function effectively and make high-quality decisions. This role also coordinates and provides direction and support to the leadership team supporting the broader business.

Key responsibilities:
The role's duties and accountabilities include, but are not limited to:
- Co-ordinating meeting requirements, prepare meeting and committees’ agendas, packs and documents.
- Completing high quality, succinct and accurate minutes for Executive and management meetings, ensuring relevant information is promptly circulated and communications are clear, encapsulating matters arising and actions.
- Pre-preparing meeting notes and briefs for the Chief’s meeting attendance.
- Monitoring and management of emails ensuring all requested are actioned and/or followed up appropriately.
- Managing and drafting of correspondence and emails, preparing presentations for internal announcements, board meetings, and other meetings and occasions.
- Providing high level documentation support to the Chief and Leadership team through the production of correspondence, papers, letters, spreadsheets, presentations and follow up on pending matters in an accurate and timely manner.
- Evaluating and prioritising correspondence and papers for the Chief’s attention.
- Ensuring that all correspondence is prepared accurately, and in a timely manner with the utmost discretion and confidentiality.
- Assisting the Chief and wider team with key projects, strategic initiatives, annual planning, internal and external events, and day-to-day operations.
- Acting as a key point of contact for the Chief and team leaders.
- Liaising with internal and external stakeholders on behalf of the Chief and the team to build strong and respectful relationships, including understanding protocol when dealing with business leaders/VIPs/politicians.
- Providing assistance and guidance to other Executive Assistants and administration staff where required.
- Organising travel including flight bookings, accommodation and preparing comprehensive itemised and timed itineraries.
The successful candidate will have:
- Extensive experience supporting senior executives and a proven ability to prioritise competing deadlines and remain calm and collected under pressure.
- Excellent written and verbal communication skills and be able to balance how and when to deal with issues and prioritise.
- Ability to adapt, be calm, efficient and flexible and to be able to anticipate needs and reassess priorities as changes occur.
- Solid experience providing high level C-Suite executive support.
- Strong organisational skills, time management
- Ability to maintain and display confidentiality and discretion.
