MacKillop Family Services is seeking a highly motivated and professional Administration Officer. Based at our South Melbourne office, this role sits within the Office of the CEO and provides high quality administrative support to the Director Clinical Services and the broader Clinical Services team, while also assisting with reception duties as required.

In this role, you'll:

  • Provide efficient and high-quality administrative support to the Director Clinical Services and wider Clinical Services team
  • Support reception functions, including answering calls, welcoming visitors, responding to staff enquiries, and providing general office support
  • Schedule meetings, prepare agendas, and take accurate meeting minutes
  • Liaise professionally with internal and external stakeholders
  • Coordinate travel arrangements and bookings as required
  • Assist with the planning and coordination of team training sessions, workshops, and events
  • Support recruitment activities, including preparing new starter documentation and coordinating interviews
  • Provide administration support across a variety of projects and initiatives

This is a part time, (0.8 EFT) position based at MacKillop's South Melbourne office and is situated within the Office of the CEO. The role reports to the Executive Officer to CEO & Company Secretary.

Key Selection Criteria

To be successful in this role, you will have:

  • Demonstrated experience working in an administration role within a busy environment
  • Excellent verbal and written communication skills, with the ability to build positive working relationships
  • Strong organisational and time management skills, including the ability to prioritise tasks and meet deadlines
  • A commitment to delivering high levels of customer service and the ability to remain calm under pressure
  • A collaborative approach and the ability to work both independently and as part of a team
  • High proficiency across Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint
  • Strong attention to detail and a commitment to producing quality work
