Cheltenham Manor is seeking a warm, professional, and organised Receptionist with strong administrative skills to join our dedicated team. As the first point of contact for residents, families, visitors, and staff, the Receptionist plays a central role in creating a welcoming and supportive environment. This role supports the smooth daily operations of the Home and contributes to a positive customer experience through exceptional service and efficient administrative support.
About the Role
In this important frontline position, you will:
- Provide a high standard of customer service to residents, families, visitors, and staff.
- Coordinate visitor entry and ensure compliance with all entry requirements.
- Manage incoming phone calls, messages, and communication flow across the Home.
- Deliver strong administrative support including mail distribution, data entry, record keeping, hairdressing bookings, and preparation of tour packs.
- Assist with resident admissions, discharges, and orientation.
- Conduct routine checks of communal areas and escalate issues as required.
- Manage stock levels, staff swipe card coding, deliveries, and archiving processes.
- Support the Home Manager and Administration Team with administrative tasks and continuous improvement initiatives.
Key Responsibilities
- Greeting visitors and managing sign-in processes.
- Handling incoming calls and escalating matters appropriately.
- Maintaining the presentation of communal areas.
- Preparing BRADMAS sheets, wheelchair/walker tags, and tour packs.
- Coding staff swipe cards and maintaining accurate records.
- Receiving, recording, and distributing deliveries.
- Managing stationery and resource stock levels.
- Coordinating daily resident mail distribution.
- Managing Private Dining Room bookings and payments.
- Assisting Kitchen, Laundry, and Care teams with printing and administrative requests.
- Managing hairdressing bookings and supporting medication chart preparation.
- Delivering donated flowers weekly.
- Supporting meetings, including drafting minutes.
- Performing data entry, invoicing, and maintaining the archive register.
Key Selection Criteria
To be successful in this role, you will have:
- 1–2 years’ experience in a similar reception or administrative position.
- Strong administrative and organisational skills, with the ability to manage multiple priorities.
- Ability to work both independently and collaboratively within a team.
- Clear and professional communication skills, both verbal and written.
- Strong customer service and relationship-building abilities.
- High attention to detail and a proactive, solution-focused approach.
