Administration Officer – Aged Care
Full Time, Permanent Position – Based in Melbourne’s Southeast Suburbs
About the Role:
We are seeking an experienced and highly capable Administration Officer to support the daily operations of our busy aged care home in Melbourne’s Southeast. This is a varied and impactful role that supports residents, families, staff, and the Home Manager.
Rostering experience is not just preferred — it is essential!
This home has a high number of beds, and rostering is a major component of the role. We need someone who is already proficient in rostering systems, workforce scheduling, and managing staffing allocations confidently and accurately. If you do not have strong rostering experience, this role will not be suitable.
In addition to rostering support, you will manage admissions and discharges, coordinate tours, assist with events, maintain records and compliance documentation, and provide exceptional customer service to residents and families.
This role is ideal for someone who thrives in a fast paced environment, is highly organised and structured, and can manage competing priorities with professionalism and care.
Key Responsibilities:
- Rostering & Workforce Management: Maintain and manage staff rosters, ensuring adequate coverage across shifts. Adjust rosters for leave, unplanned absences, or operational changes while adhering to award and budget requirements.
- Payroll Support: Verify and process timesheets and leave applications accurately in line with organisational policies. Collaborate with the payroll team to ensure timely payment.
- Administrative Support: Provide comprehensive administrative support to the Home Manager, staff, and departments. Maintain accurate records, filing systems, and documentation.
- Admissions & Discharges: Assist with resident admissions and discharges, ensuring all required documentation and communication is completed.
- Resident & Family Communication: Serve as a point of contact for residents, families, and external stakeholders, providing clear, respectful, and professional communication.
- Tours & Facility Presentation: Assist with coordinating tours, maintaining display and vacant rooms, and presenting the home to prospective residents and families.
- Compliance & Quality: Assist with compliance documentation, audits, and environment checks to ensure the facility meets industry standards.
- Events & Activities Support: Assist in organising resident events, activities, and staff functions as needed.
- Problem Solving & Reporting: Identify gaps or trends in staffing, payroll, or operations and provide recommendations to support decision making.
Key Selection Criteria:
- Proven rostering experience in a large or busy facility; proficient in rostering systems.
- Payroll and administrative skills, including timesheets, leave processing, and accurate record-keeping.
- High attention to detail in documentation, reporting, and data management.
- Excellent communication and interpersonal skills with residents, families, staff, and external stakeholders.
- Strong problem-solving and organisational skills, able to prioritise competing tasks and work autonomously.
- Aged care or healthcare experience (desirable).
- Confidentiality and professionalism, handling sensitive information with integrity.
- Proficient in computer systems and office software, relevant to administration, rostering, and payroll.
