The Opportunity

An exciting opportunity has arisen for a Branch System Support Coordinator to join the team at our Campbellfield branch. Reporting to the Branch Manager, the purpose of the role is to provide administrative and clerical support to the Branch including payroll and service invoice processing; reception & phone enquiries; customer service support; general secretarial and clerical duties.

Key Responsibilities include:

  • Supporting the coordination and preparation of payroll information, including the entry of manual timesheets when required
  • Monitoring regularly work in progress (WIP) and ensure processes are in place and adhered to, that allow for timely invoicing of work
  • Completing invoicing timely and accurately by ensuring all Purchase Orders have been raised correctly, physical invoices are received with accurate costs and any outstanding Purchase Orders are followed up
  • Answering customer queries and complaints concerning invoicing or account related problems
  • Carrying out general clerical duties including filing, faxing and correspondence and related activities
  • Assisting as required ordering spare parts as directed by supervisors or managers
  • Assisting with travel arrangements for staff when required
  • Creating new machine folders accurately and entry of new machines details into EQP care system
  • Building and maintaining relationships with internal and external customers
  • Working effectively with other departments, branches, and regions to establish Komatsu Australia as a premium supplier of equipment and aftermarket services 

To be considered for this position you must have:

  • A great attitude towards team work
  • A drive to succeed and maintain focus in a busy environment
  • Previous experience in customer service
  • Excellent computer skills with competency in the Microsoft Office programs with sound data entry skills
  • Excellent written and oral communication skills with the ability to communicate with management, staff and customers
  • Have a technical aptitude
